Department:Alumni Affairs and DevelopmentPre-Employment Screening:Education, IdentityJob Function:Alumni Affairs and Development Duties & Responsibilities: The Director of Donor & Affiliate Relations will lead a team with these four primary responsibilities:

  • Management, Vision, and Leadership: Manage a team of three full-time and one half-time employee (directly supervising at least three), setting expectations, monitoring and evaluating performance, giving direct and continual feedback and support, and encouraging professional development. Assess the workload of team members and make changes to the organizational structure of the team when needed to ensure success toward meeting short- and long-term goals and objectives. Develop back-up plans to ensure continuity of work during unanticipated work surges and staff absences. Ensure appropriate systems are in place to support efficient workflow and data tracking. Establish annual goals, objectives, and budgets as part of the fiscal year planning and mid-year review process. Serve as a member of the Office Managers Group, including giving biannual presentations on team goals and progress.

  • Reporting and Recognition: Create and manage a system for monitoring and stewarding more than 300 reportable funds. Work with colleagues across the School and University—including finance, sponsored programs, financial aid, dean’s office, and University Development Office—to relay and collect information vital to stewardship reporting. Write donor newsletter stories and in-depth stewardship reports—including bios, financial and gift activity summaries, and updates on complex biomedical research—for HMS’s top donors. Collaborate with the Alumni Engagement and Operations teams on the acknowledgment letter content and process. Proactively manage and execute the donor recognition matrix, which provides guidance on appropriate donor recognition at various major gift levels. Provide expertise and recommendations on new and existing major donor recognition societies. Manage signage for named spaces and create unique, personally meaningful gifts to steward top donors.

  • Affiliate Relations and Clinical Professorships: Build and manage relationships with the development offices of all HMS-affiliated hospitals, focusing primarily on the establishment of new clinical professorships and amendments to existing gift terms. Set, monitor, adjust and attain annual revenue goals for clinical professorships (typically around $8 million per year). Partner with Special Events team on professorship and other donor stewardship celebrations, including preparing event briefings and writing speaking points for the dean of HMS. Work closely with Faculty Affairs on new and amended professorships, nominations progress, and inquiries from the affiliates.

  • Gift Opportunities, Administration, and Policy: Working closely with the Principal and Major Gifts and Grants team, manage and proactively update the HMS fund glossary, which details all available giving and naming opportunities. Draft new gift term agreements and amendments adhering to Harvard University templates and University and School guidelines. Build relationships and partner closely with the HMS Office of Finance and Harvard Alumni Development Services on terms tracking and approval, including negotiating rush reviews when necessary. Serve as a member of the HMS Gift Acceptance Committee. Provide policy guidance to HMS faculty and staff. Develop and maintain systems to track professorships, incumbent information, and allocation data. Educate colleagues about terms guidelines, approval processes, and expected timelines. Attend and help lead gift policy meetings.
