Key Responsibilities
Operations
- Co-manage daily attendance and tardy procedures including ensuring the timely entry of data into the school information system, communication with families regarding daily absences and tardies, and communication with families regarding trends in absences and tardies;
- Co-manage all aspects of the arrival and dismissal system to ensure a safe and efficient arrival and dismissal for all scholars daily, including managing coverage needs and late arrival and dismissal;
- Co-manage the Front Office experience for scholars, families, and visitors to ensure high-quality, customer service aligned to our mission and values;
- Ensure a safe and secure daily building opening and closing in accordance with network-wide safety procedures;
- Provide nursing services to scholars throughout the school day;
- Manage all scholar medications, including the storage and distribution of medications;
- Manage the uniform system, including the gently used uniform donation system
Facilities Readiness & Management
- Proactively ensure school building is clean, well-maintained, safe, secure, and meets educational needs;
- Walk the building and campus daily to identify facility and maintenance issues;
- Respond to facilities and supply requests from staff, assign to operations or custodial staff and vendors, and resolve according to network-wide standards;
School Nutrition Management
- Establish and maintain strong, accountable relationships with food service partners to ensure timely, reliable, safe, and fully compliant delivery of meals and provide accurate reporting of all school meals;
- Manage daily school nutrition systems including school food set up, distribution of meals according to federal guidelines, data entry into POS system to ensure accurate tracking of meals, scholar meal payments, and distribution and storage of scholar snacks;
Technology Management
- Co-manage the distribution and maintain inventory of staff and scholar technology;
- Resolve issues and repairs for staff and scholar technology with the operations team or external vendors;
Data & Software Management
- Co-manage all aspects of school school-based student information system (PowerSchool), including but not limited to class scheduling, student contact information, student enrollment and withdrawal information, and report card generation;
- Ensure all scholars, families, and staff members have access to necessary software platforms;
- Support staff and families to troubleshoot software issues;
Supplies & Inventory Management
- Co-manage and maintain ongoing supply and asset inventory including administrative supplies, instructional materials, furniture, and equipment;
Scholar Records
- Co-manages all aspects of electronic and/or paper-based scholar records including but not limited to electronic organization of scholar records and fulfilling requests for scholar records;
Operations Coordinator Team
- Coach, develop, and manage a team of full-time Operations and School Services Coordinators to execute various department systems, projects, and responsibilities
- Provide daily observations, real-time coaching, and weekly feedback meetings that lead to Operations & School Services Coordinators development and support implementation of action steps;
- Conduct performance evaluations for all Operations & School Services Coordinators as aligned with Resurgence Hall performance rubrics;
- Maintain a fully staffed team, including mid-year and following school year hiring and on-boarding of Operations & School Services Coordinators;
- Lead and support professional learning for all staff members;
- Build deep relationships with scholars, families, and staff to foster a culture of joy and community;
- Lead and support schoolwide and grade level initiatives such as Parent University Nights, Spread the Love Week, Black History Month, 100th Day of School, Awards Ceremony, Storybook Character Day, Read Across America, Spring Fling, March Madness, etc.;
- Lead and support schoolwide initiatives such as weekend recruitment events, evening parent workshops, and other events with advanced notice outside of regular work week and hours;
- Perform other duties, as deemed appropriate, by the Director of Operations and School Services.
Prior Experience- All candidates must have 5 years minimum full-time work experience in a school or similar education, non-profit, or business setting in operations and logistics. Strong project and time management skills; juggle multiple priorities with great attention to detail, and deliver consistent and timely results. Sense of humility, urgency, and customer service mindset. Strong ability to proactively solve problems. Demonstrates organizational, project planning, and excellent verbal and written communication skills.
Physical Requirements- This job is physically demanding and may require standing and walking for extended periods of time and lifting heavy objects up to 40lbs.
