Willdan is seeking an Administrative Assistant for our office in Minnetonka, MN. The Administrative Assistant will assist in the management and coordination of administrative tasks in support of the Office Manager. Our ideal candidate will be a self-starter who can assume all aspects of administrative tasks related to office management. Essential Duties And Responsibilities

  • Work closely with the Office Manager and others on the administrative team to assist multiple offices in administrative projects.
  • Greet clients/visitors upon arrival.
  • Assist with planning office events.
  • Order and stock office, coffee, and kitchen supplies on a weekly or as needed basis.
  • Order, set up for, and clean up after office lunches or events.
  • Answer a multi-line phone system, forward calls as necessary, check voicemails.
  • Update and perform maintenance as requested in proprietary company databases.
  • Manage deliveries and shipments to and from the office, including the management and delivery of office mail.
  • Be proactive in maintaining neatness of conference rooms, kitchen areas, and common office areas.
  • Assist with requests from marketing, program managers, etc. utilizing Word, Excel, internet.
  • Assist with maintaining office procedures and documenting tasks.
  • Arrange hotel stays and/or sign -up employees for conference attendance as requested.
  • Possess excellent organization skills and flexibility in adjusting to shifting priorities and deadlines that may occur daily.
  • Have conscientious work habits such as arriving on time and staying late as occasionally needed to meet deadlines.
  • Have a basic understanding of working in Microsoft Office Suite products.
  • Demonstrated ability to coordinate events and office wide activities.
  • Ability to juggle multiple demands created by several simultaneous projects.
  • Possess a strong attention to detail and focus on communication.
  • Have excellent verbal and written communication skills.
  • Ability to work well in a deadline-driven environment, including appropriate follow-through with others, and giving and receiving constructive feedback.

Job Requirements / Qualifications

  • High school diploma required. Associates degree preferred.
  • Three years' related experience working in an administrative capacity.
    • Associates Degree plus one year of administrative experience may also be considered.
