About The Role

Job Title: Workplace Operations & Safety Coordinator

Location: On-site (Alhambra, CA)

Hours: Typical 8:00 AM – 5:00 PM; occasional evenings, weekends, and on-call duties for emergencies

As the Workplace Operations & Safety Coordinator at Seen Health PACE (Program of All-Inclusive Care for the Elderly), you will play a pivotal role in ensuring the seamless operation, safety, and maintenance of our facility. Reporting to the Head of Real Estate, you will collaborate with the Center Director and cross-functional teams to create a safe, welcoming, and efficient environment for participants, staff, and visitors. Your leadership will directly impact participant satisfaction, operational efficiency, and compliance with regulatory standards.

This is a hands-on role that requires initiative, problem-solving skills, and a passion for creating a positive workplace culture. You will be the go-to person for facility management, safety protocols, and emergency preparedness, ensuring that our center operates at the highest standards.

Key Responsibilities

Facilities & Office Administration:

  • Serve as the primary steward of the PACE facility, overseeing building maintenance, repairs, and upgrades, including HVAC, plumbing, electrical systems, and environmental controls.
  • Manage external vendors and contractors, ensuring timely and cost-effective maintenance, repairs, and security services.
  • Oversee janitorial teams (day and night porters) and ensure adherence to cleaning protocols to maintain a clean and safe environment.
  • Conduct daily facility inspections (interior and exterior) to identify and address maintenance needs promptly.
  • Coordinate office moves, installations (e.g., furniture, signage), and equipment maintenance.
  • Manage office supplies, mail distribution, and administrative tasks to support day-to-day operations.
  • Assist with IT and AV troubleshooting as needed.
  • Maintain detailed records of maintenance schedules, repairs, and safety inspections.

Safety & Compliance:

  • Act as the primary point of contact for emergency preparedness, utility providers, and property management.
  • Co-facilitate monthly safety committee meetings and ensure compliance with CMS, DHCS, OSHA, NFPA, and other regulatory standards.
  • Develop and implement emergency response plans, including fire drills, natural disaster preparedness, and medical emergency protocols.
  • Conduct regular safety inspections, incident investigations, and internal audits to identify and mitigate risks.
  • Collaborate with Infection Control leadership to ensure proper biohazard waste management and functional infection control equipment.
  • Provide safety education to participants and staff, fostering a culture of safety and accountability.

Physical Security:

  • Oversee security measures, including CCTV systems, burglar alarms, and badge access controls.
  • Manage the issuance of employee ID badges, IT equipment, and keycard inventory.
  • Ensure compliance with guest policies, including visitor sign-in procedures.
  • Monitor building occupancy levels to adhere to fire safety, infection control, and building code regulations.
  • Coordinate with contracted security personnel to safeguard the facility, participants, and staff.

Qualifications

Required Qualifications:

  • 3-5 years of experience in facility management, safety coordination, or a related field.
  • Strong knowledge of mechanical, electrical, and plumbing systems.
  • Demonstrated ability to develop and implement safety policies, procedures, and training programs.
  • Excellent communication, interpersonal, and leadership skills.
  • Proficiency in basic computer skills, project management tools, and physical security platforms.
  • Ability to read and interpret technical manuals, procedures, and regulatory guidelines.
  • Physical ability to stand, walk, lift up to 50 pounds, and perform tasks requiring bending, stretching, and climbing.

Preferred Qualifications:

  • Bachelor's degree in healthcare administration, occupational health and safety, public health, or a related field.
  • Experience in healthcare facility safety management, risk management, or regulatory compliance.
  • Knowledge of OSHA, NFPA, CDC, and other relevant safety guidelines.
  • Certifications: CPR/AED, Serv-Safe, OSHA-10 or 30, Certified Facility Manager (CFM) or equivalent.
  • Familiarity with maintenance record systems and cleaning compounds/chemicals.
