Job Summary

Legere Pharmaceuticals is seeking a detailed and team-oriented Customer Service Specialist to join our dynamic sales team. This role is essential for processing sales orders, providing exceptional customer service, and ensuring the efficient management of customer inquiries. In addition to customer service duties, this role involves using software to create private labels and product logos for dietary supplements, maintaining consistency in brand messaging, and ensuring that all designs comply with regulatory requirements. The job demands a cooperative, agreeable and sympathetic listener who gets along with others and enjoys being helpful to them. A customer service, team-oriented focus is of utmost importance. The job requires attention to the details of work, handling then with better-than-average accuracy and with careful attention to the quality of the work.

Requirements

Key Responsibilities

Customer Service & Order Processing

  • Order Management: Receive and process sales orders from sales representatives using the Odoo system, track shipment details, and maintain order documentation.
  • Customer Support: Provide customer service through phone calls and emails, addressing inquiries about products, order statuses, and delivery times.
  • Issue Resolution: Create Customer Service Forms (CSFs) to handle discrepancies and resolve any issues with shipments.
  • Payment Processing: Manage customer billing, process payments, and handle refunds as needed.
  • Account Management: Verify potential customer data and set up new accounts in OLY Hubspot, including the creation of customer logins.
  • Sales Team Support: Collaborate with the sales team to resolve order-related questions, update information on sales declines, and verify product availability and stock levels.
  • Compliance: Ensure that all orders meet regulatory requirements.
  • Performance Monitoring: Participate in team meetings to discuss performance strategies and suggest improvements.
  • Label Design: Create private labels for various clinics, ensuring designs meet both client specifications and regulatory standards.
  • Collaboration: Work with clients to understand their design objectives, selecting appropriate colors, images, fonts, and layouts.
  • Brand Consistency: Ensure that all designs, logos, and labels are aligned with the brand's messaging and identity.
  • Production Preparation: Prepare design files for production, ensuring all labels and graphics meet quality standards.
  • File Organization: Maintain an organized digital library of client logos and private label requests, ensuring easy access for future projects.
  • Regulatory Compliance: Continuously update supplement panels and other design elements in accordance with changes in ingredients or regulatory requirements.
  • Project Management: Use Asana to manage multiple design projects, keeping track of deadlines and collaborating with team members to ensure timely delivery.

Qualifications

  • Strong proficiency in customer service and order management systems (Odoo, Hubspot).
  • Proficiency in graphic design software (e.g., Adobe Creative Suite, Canva).
  • Excellent communication skills and ability to collaborate effectively with both internal teams and external clients.
  • Ability to manage multiple tasks and projects under tight deadlines.
  • Knowledge of dietary supplement industry regulations (preferred but not required).
  • Strong organizational and problem-solving skills.
