Responsibilities:

  • Office Operations: Ensure smooth office operations and organized procedures, maintaining an efficient work environment.
  • Front Desk: Operate the reception desk, providing a welcoming environment and addressing day-to-day office needs.
  • Collaboration: Collaborate with HR and other international teams to support company initiatives.
  • Employee Welfare: Assist in organizing welfare activities to enhance employee engagement and satisfaction.
  • Office Maintenance: Manage office supplies, mail distribution, and upkeep of meeting rooms and common areas.
  • Procurement and Invoices: Open purchase orders, monitor supplier invoices, and ensure accurate financial tracking.
  • Facility Coordination: Coordinate with maintenance companies to maintain clean and functional office space.
  • Security Systems: Oversee and maintain security systems, serving as the point of contact for after-hour communications.
  • Logistics Support: Handle all FEDEX account needs, ensuring timely and efficient logistics management.
  • Vendor and Supplier Relations: Manage relationships with vendors, service providers, and the landlord, ensuring timely invoicing and payments.
  • Visitor Assistance: Provide general support to visitors, ensuring a positive and organized experience.

Job Requirements

Requirements:

  • Proven experience in administrative roles, such as Office Manager or similar positions.
  • Proficiency in Microsoft Office tools, particularly Outlook, with a strong aptitude for computer systems.
  • Excellent organizational skills with a high level of attention to detail.
  • Strong interpersonal skills with a customer-focused mindset.
  • Cooperative, proactive, and capable of working independently in a dynamic environment.
