Human Resources Assistant

Job Summary

The Human Resource Assistant supports the daily operations of the Human Resources (HR) department by assisting with recruitment, employee onboarding, payroll processing, benefits administration, and compliance with company policies and procedures. This role provides administrative support to the HR function, ensuring accurate record-keeping, file maintenance, and HRIS data entry.

Duties/Responsibilities

  • Assist in recruitment by collaborating with managers to identify required skills and hire qualified candidates for open positions.
  • Tracks candidate status in the HRIS and provides timely follow-up communication.
  • Conducts background checks, pre-employment drug screens, and eligibility verifications.
  • Facilitates new hire onboarding and orientation programs.
  • Addresses applicant and employee questions on policies, benefits, and hiring, escalating complex inquiries to senior HR staff as needed.
  • Manages payroll processing, including addressing employee inquiries, resolving errors, and ensuring accurate payment distribution.
  • Administers employee benefit plans, including enrollments, changes, and terminations.
  • Processes required documents for payroll and insurance providers to maintain accurate records and ensure proper deductions.
  • Serves as a liaison between the organization and external benefits providers, including health, disability, and retirement plan administrators.
  • Reconciles benefit statements and ensures accuracy.
  • Maintains accurate and up-to-date employee records, HR files, and documentation.
  • Assist in creating and drafting various HR documents, including but not limited to job descriptions, policies, employment letters, and other departmental documentation.
  • Ensures the integrity and confidentiality of human resource files and sensitive information.
  • Assist with internal communications, including newsletters, emails, flyers, memos, digital bulletin boards, and event calendars.
  • Participates in the planning and execution of company events such as benefit open enrollment, employee recognition programs, company-wide meetings, and celebrations.
  • Performs other duties as assigned.

Required Skills/Abilities

  • Strong verbal and written communication skills.
  • Excellent people skills, with the ability to manage sensitive and confidential matters with professionalism and discretion.
  • Exceptional organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.

Education And Experience

  • Associate’s degree in human resources, Business Administration, or a related field (required).
  • Bachelor’s degree in human resources or a related field (preferred).
  • Minimum of three years of office experience, with at least one year in human resources (preferred).

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to lift 15 pounds as needed.
