Job Title: Program Coordinator

SEIU UHW-West & Joint Employer Education Fund
The Education Fund is a non-profit partnership between six Locals of the Service Employees International Union (SEIU) and 22 Healthcare Industry employers, serving the education and training needs of 100,000 eligible workers. Our mission is to empower our diverse healthcare workforce to advance in a changing environment through innovative education and training solutions. Our program and budget have doubled in scale over the last five years to provide career advancement and continuing education services to 20,000 learners annually, and we are positioned for continued growth with new partners and funding.


Principal Purpose of Job: The Program Coordinator plays a key role in ensuring the alignment of the department, coordinating activities of all programs throughout the organization, and the support of various programs that occur in the department. The Program Coordinator is part of the Education Department and reports to the Assistant Director of Continuing Education and Preparatory Skills. They collaborate significantly and on an ongoing basis with individuals and units across the organization, including other members of the department.



Level of Authority: Works independently within the scope and direction of the Assistant Director of Continuing Education and Preparatory Skills and in accordance with organizational policies and procedures.


Work Environment: Works in a fast-paced office setting with frequent interruptions and many demands on time. The position may require interaction with external collaborators, participants, and other partners. Travel required.



Essential Functions and Responsibilities:
Incumbent must have the skills, abilities, and judgment to perform the following essential job duties and responsibilities, with or without reasonable accommodation:

Program Coordinator:

  • Owns the provider/program relationships, including agreements, contracts, invoice follow-up, leading the provider meetings, leading check-ins, including creating agendas and sending follow-up notes
  • Researches provider options and provides recommendations and next steps
  • Attends bi-weekly communication meetings to collaborate on developing recruitment and marketing plans for their programs
  • Knowledgeable about the status of owned programs, enrollments, and budget
Provides leadership, training, and feedback to assigned team and is empowered to make program decisions to meet business needs
  • Builds and maintain strong relationships with educational providers, union leaders, and employers
  • Proactively provides options for new providers when they see a need and can make recommendations of future partnerships/needs
  • Understands how the operating plan works, updates in a timely manner with high accuracy and can speak to the inputted data at any given moment
  • Has a high level of understanding the program budget and goal and ensures their team has the same level of understanding and awareness
  • Meets enrollment goals for owned programs within budget via ensuring all resources are allocated appropriately and coordinating with relevant stakeholders.
  • Uses Wrike to build out, manage, and track projects, including assigning tasks to team, adding due dates, and updating ADs
  • All programs/pathways are built in WRIKE and contain an assignee and deadlines
  • Leads invoice management, including following up with providers and ensuring invoices are submitted
  • Partners with the Finance team to obtain enrollment and cost information from providers
  • Updates and maintains operating plans to report to AD
  • Great understanding of Salesforce reporting and utilization with the ability to make data driven decisions for owned programs
  • Confident in the contract process with the ability to negotiate with providers
  • Performs other tasks and responsibilities as assigned by supervisor.
  • Collaborates in developing and delivering presentations for employers and providers. Involvement in stakeholder meetings.

Qualifications Qualifications and Capabilities
  • Four years of experience planning and implementing educational or training programs, a college degree, plus a minimum of two years of experience.
  • Sound knowledge of the community college system and the prerequisite requirements for various healthcare training programs.
  • Good leadership and organizational skills, attention to detail, and the ability to work effectively independently and as a team leader.
  • Advanced level skills in the use of basic Microsoft Office environment (MS Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Experience within a union and/or healthcare environment preferred.
  • Must be committed to working within a labor-management partnership environment.
  • Flexibility regarding schedule and assignments.
  • Professional demeanor with the ability to create rapport among a wide variety of staff, members, and partners.
  • Must have a valid California Driver’s License, the use of a vehicle, and maintain an appropriate level of car insurance.


Physical Demands:
  • Ability to drive long distances; ability to move frequently from one location to another.
  • Ability to sit at a workstation for extended periods.
  • Ability to lift and occasionally carry materials, equipment, or packages weighing up to 35 pounds.
