The Estimating Coordinator (EC) is responsible for the production and the gathering of project related information and then track, file, and distribute this information to all related parties. This position will be accountable for maintaining all bidding information up to date, consistent, and organized in an orderly fashion for all others in the pre-construction team. The primary focus of the EC is gathering bid invites for estimating and keeping order of all pre-construction documents for bidding purposes. The Service Standards are designed to provide our internal and external customers with reasonable expectations of process and outcomes. In addition, we want our customers to know what we expect of ourselves as we move toward Customer Service Excellence. Pre-Construction will respond to all inquiries as soon as practical and in accordance with the listed standards. Adding a new potential project to company database [Vista]

  • Estimating Coordinator will create new potential projects in Vista
  • The Estimating Coordinator will thoroughly complete the new potential project information in the company database with all required pertaining information.
  • The Estimating Coordinator creates potential project estimate digital folders and uploads all files pertaining to the project.
  • The Estimating Coordinator will coordinate meetings.

Accepting a Quote and completion of quote

  • The Estimating Coordinator is to update the company database when the potential project has changed and when quotes have been accepted including:
    • Take-off sheet showing the scope of work with pricing.
    • Job Breakdown sheet, showing budgets set for job.
    • Job prints.
    • All addendums for the job.
    • All documented communication for the job (between client and or client and GC).
  • If the job is Lost, the Estimating Coordinator will update the company database with reasons as to why it was lost and any other pertinent information.

Project Award

  • The Estimating Coordinator will prepare the newly awarded project hand-off package.
  • Create a new project bluestake ticket and include it in the hand-off package and Vista.
  • The Estimating Coordinator will document control: receive, file, track and distribute all construction documents.
  • The Estimating Coordinator will prepare meeting minutes after project hand-offs take place.
  • Effectively and accurately communicate relevant project information and deadlines to clients and pre-construction team.

Miscellaneous

  • Monitor standard printer and plotter paper levels and inventory.
  • Monitor standard printer and plotter ink cartridge levels and inventory.
  • Assist the pre-construction department with the Big 3 Projects as directed by the Pre-Construction Manager or Chief Estimator.
  • Manage meeting minutes for weekly estimating/preconstruction meetings.
  • The Estimating Coordinator should have 1-2 years of experience specifically in underground dry utilities for electrical & communication construction estimating.
  • Must have experience reading blueprints.
  • Knowledge of materials, methods, and tools involved in underground dry utilities and the electrical industry.
  • Communicate professionally both in writing and verbally with people outside the company, representing the company to customers, the public, the government, general contractor, and electrical contractors representatives.
  • Must possess experience working with contract documents such as contract drawings, subcontracts, contract addendums, specifications and change orders.
  • Interact with customers in all matters regarding RFIs, RFQs and proposals.
  • Demonstrate the initiative to search out the most reasonable cost for the company and maintain the profitability margin.
  • Possess solid organizational and management skills.
  • Intermediate knowledge of Windows Office Systems.
  • Intermediate skill level with MS Word / PowerPoint / Outlook and Publisher.
  • Advanced skill level with MS Excel.
