Casa Serena is a residential substance use, mental health, trauma and eating disorder treatment center for women only. We are currently looking to add creative, compassionate and innovative individuals to the team in the position of Admissions Assistant!

As Santa Barbara's only licensed and accredited treatment program for women, we deliver high quality integral care in a collaborative team environment. Availability: This is a Hybrid position, mostly remote, with some onsite requirements in the Santa Barbara area for weekly Treatment team meetings.

Primary Purpose And Function

The Admissions Assistant assists in all administrative functions of the Admissions Department and is the first point of contact for families and clients regarding billing and insurance questions. This position also provides coverage for intake calls and inquiries at certain times.

Essential Functions And Responsibilities

  • Cover intake line at designated times with appropriate information; answer questions and resolve any barriers to treatment
  • Perform pre-admission screenings and assess appropriateness for treatment
  • Manage and resolve billing disputes, liaison with billing department as needed
  • Manage and distribute all incoming faxes to the admissions department
  • Support the admissions team with difficult client/family conversations
  • Compile weekly marketing data and send to digital marketing company
  • Respond to client billing questions, including refund inquiries and insurance claims processing too slowly
  • Create and edit forms in the CRM and EMR
  • Other duties as assigned

Requirements

  • Billing and insurance
  • Clinical assessments
  • Electronic medical records
  • Knowledge of HIPAA requirements, Joint Commission and other licensing bodies
  • Ability to communicate clearly, both in writing and verbally
  • Possess a professional demeanor and a collaborative spirit
  • Have a general understanding and/or training in cultural diversity issues

Preferred Qualifications

  • Basic computer skills, experience in MS Office or Google Suite preferred
  • Experience in a behavioral health treatment facility preferred
  • Coursework in psychology, addiction studies or social work preferred
  • Valid driver’s license, clean driving record and insurable by our insurance carrier
