A Clinic Manager plays a pivotal role in overseeing and optimizing the efficiency of clinic operations, ensuring consistency in processes and surgeries. The responsibilities extend to managing the veterinary clinic team through hiring, training, and performance management, while addressing escalated customer concerns with a commitment to exceptional service. Maintaining a safe clinic environment, developing Standard Operating Procedures, and conducting staff training are integral to the role. Additionally, this position will manage clinic administration tasks, control budget and inventory, and ensure compliance with legal requirements. Collaboration with other departments, building strong relationships, and ensuring the smooth operation of the clinic complete the multifaceted responsibilities of this position.

- Lead and supervise efficient clinic operation, overseeing the workflow and ensuring consistency of clinic processes and surgeries
- Manage veterinary clinic team including, but not limited to hiring, training and development, leading and motivating, providing guidance and support, performance management, scheduling, directing and delegating tasks, and terminating as necessary
- Address escalated customer concerns with a commitment to delivering exceptional service, while balancing customer satisfaction with the strategic needs of the organization, navigating challenges to find mutually beneficial solutions that uphold our commitment to excellence
- Maintain a safe and well-functioning clinic environment by overseeing safety protocols, arranging regular maintenance, and enforcing cleanliness standards
- Develop Standard Operating Procedures for clinic operations, re-evaluating processes and procedures, as required
- Conduct team and individual training for clinic staff, giving performance feedback, and introducing learning opportunities to support their growth and development
- Manage clinic administration tasks including but not limited to budgeting and finances, reports, and maintaining accurate medical records
- Control clinic inventory and supplies, ensuring cost-effective supply management within budgetary constraints
- Monitor security access to controlled drugs and adhere to all legal requirements, including site inspections
- Assist Veterinarian in maintaining accurate logbooks for DEA inspections
- Collaborate with other Pet Alliance departments and coordinate services, as needed
- Build strong relationships with team, veterinarians, vendors, clients, and contractors
- Use proper animal restraint techniques for the safety and well-being of the animal and the team
- Engage in meticulous strategic planning for clinic operations, optimizing revenue
- Other duties, as assigned
QUALIFICATIONS
- High school diploma or equivalent required
- Associate degree or equivalent preferred
- At least of 5 years of professional experience working in a veterinary clinic, animal shelter, or related field required
- At least 3 years of evolving leadership responsibilities required
- At least 5 years of experience working in a fast-paced teamwork environment preferred
- Advanced knowledge of animal handling, general pet care principals, preventative medications, and breed identification required
- At least 1 year of previous experience with animal surgery working with anesthesia and controlled substances preferred
- Veterinary Practice Manager certification highly preferred
- Certification as Veterinary Technician preferred
- Fear Free certification preferred
- Certified Euthanasia Technician (CET) training and certification preferred
- Bilingual skills preferred
- Knowledge of and ability to perform tasks on a computer using different software programs
- Expert ability to work with animals safely and humanely and to remain calm in stressful situations
- Advanced verbal, written, and interpersonal communication skills
- Proficient ability to quickly adapt to customer, animal, and business needs
- Ability to collaborate with others and work effectively in a team environment
- Advanced ability to assess an individual’s learning style and quickly adapt to others’ training needs
- Strong attention to detail and ability to focus with distractions
- Expert ability to assess animal behaviors and cues
- Expert ability to comfortably work with animals, treating them with respect and care, including animals that are difficult to handle and/or stressed
- Expert ability to use excellent judgement in problem solving and decision making using a proactive approach for better results
- Advanced ability to understand and interpret medical terminology, procedures, and records
- Strong organizational skills for efficient task management and prioritization
- Expert ability to effectively delegate tasks for optimum team productivity
- Strong decision-making skills in operating within allocated budgetary limits
- Adept conflict management skills, fostering resolution and maintaining positive working relationships
- Strong multitasking abilities, efficiently managing and prioritizing multiple tasks with attention to detail and effectiveness
- Physical demands include extended periods of standing, walking, sitting, balancing, reaching, handling, grasping, crouching, and feeling with constant lifting and carrying requirements of up to 25 lbs.
- Visual acuity and depth perception is required for safe handling of animals
- Work includes providing compassionate and dedicated care to others
- Work requires the ability to maintain focus and composure while working under pressure, manage stress during difficult situations, and adapt quickly to resolve issues or conflicts including being proactive to solve problems before they arise
- Work frequently requires critical thinking to help others solve difficult problems and make challenging decisions that offer the best outcome for the client and Pet Alliance
- Work includes offering support and guidance to others and effectively handling stress in a challenging work environment
- Work involves analytical thinking, foresight, and decision-making skills for effective strategic planning
- Work requires heightened situational awareness within the team, enhancing workflow efficiency and proactive responsiveness to dynamic challenges
- Most work is performed in the animal clinic and medical areas of Pet Alliance which is open and well lit, adequately ventilated, noisy and distracting environment.
- Work environment involves exposure to potentially hazardous materials and situations that require following safety precautions and may include the use of protective equipment.
- The job requires frequent and routinely intense public contact as well as the ability to multi-task under conditions that can be described as extremely fast-paced/high volume and are potentially stressful on a routine basis.
- Travel is required up to approximately 5% of the time.
