Position Overview

The Receptionist position serves as the first point of contact for our customers and visitors at the corporate office. This role involves managing front desk operations, greeting visitors, handling phone calls, and providing administrative support to ensure smooth office operations.

Key Responsibilities (Essential Duties and Functions)

  • Greet and welcome visitors in a warm and professional manner.
  • Answer, screen, and forward incoming phone calls.
  • Manage emails, and inquiries, ensuring timely responses.
  • Maintain a tidy and presentable reception area.
  • Handle incoming and outgoing mail and deliveries, and conduct daily mail deliver to post-office.
  • Assist with administrative tasks such as data entry, filing, and record-keeping.
  • Perform data entry tasks accurately and efficiently.
  • Provide basic information about the company and services to customers and guests.
  • Monitor office supplies and order replacements as needed.
  • Ensure security by following company protocols for visitor access.
  • Issue and maintain security badges for employees.
  • Assist other departments with clerical duties as required.
  • Maintain confidentiality of sensitive information while managing records.
  • Assist with planning and execution of company events.
  • Collaborate with team members to enhance overall office efficiency.
  • Other duties as may be assigned.
  • Regular and predictable attendance at assigned times is required.

Qualifications

Education/Experience

  • High school diploma or equivalent; additional certification in office administration is a plus.
  • Proven experience as a receptionist, front desk representative, or similar role.
  • Bilingual abilities are preferred.

Work Requirements

  • Must pass post-offer employment drug testing, background check, and motor vehicle record (MVR) review.
  • Must have a current and valid driver’s license and reliable personal vehicle for daily mail runs and errands (mileage reimbursement may be provided).
  • Display a professional and courteous attitude to co-workers, supervisors, and the general public at all times.
  • Willingness to work in a team environment and assist co-workers and/or supervisors with other duties as required.
  • Individuals are required to wear personal protective equipment (PPE) in designated operations and production areas as stated by OSHA and/or MSHA.

Work Schedule

  • 8:00 a.m. – 5:00 p.m.
  • Monday – Friday

Physical Requirements

  • Able to stand, walk, use hands and fingers to manipulate objects, talk and hear.
  • Vision abilities (with correction) include close, distance, peripheral, depth, and the ability to adjust focus.
  • Frequently required to sit and use hands.
  • Frequently required to stand and walk for extended periods of time.

Work Environment

  • Standard office environment.
  • Tempo is fast paced with deadlines.
  • The noise level in the work environment may be moderate.
