The Position

We are currently seeking a full-time Bilingual Administrative Assistant for our Palmdale office. This position reports to the Administrative Supervisor and is primarily responsible for providing administrative support to Director of Antelope Valley Services, Program Managers, and Administrative Supervisor.

What You’ll Do

  • Provides administrative support to the Director, Administrative Supervisor, and Program Managers, including scheduling and coordinating appointments.
  • Works with the Administrative Supervisor to manage vendor relations (e.g., security, HVAC, building management) for repairs and maintenance.
  • Handles petty cash and general accounts, including preparing and presenting basic ledger reports.
  • Acts as the Primary Safety Representative, assisting with workplace injuries, new hire workstation assessments, and safety programs.
  • Oversees new hire setup, including mailboxes, supplies, office setup, and welcome materials.
  • Approves office supply orders and manages inventory tracking for janitorial and kitchen supplies.
  • Troubleshoots copier issues, maintenance requests, and therapy supply check-outs.
  • Tracks and compiles licensing requirements, HR documentation, and records for audits and certifications.
  • Attends agency-related meetings, takes minutes, and maintains program records and resources.
  • Coordinates meeting room reservations and assists in other administrative tasks as needed.
  • Hours: Full-time, Monday – Friday. 8:00am – 5:00pm (1-hour meal period)
  • Fully onsite
  • Starting Salary: $19.00 - $20.50/hour


Qualifications

  • Bilingual in Spanish and English required
  • A minimum of 2 years’ experience in a medical, administrative, or mental health agency office setting.
  • Must be able to communicate effectively, clearly, and concisely in an oral and written manner.
  • Must be able to prioritize and plan work activities and use time effectively.
  • Must be able to work with little or no supervision, plus the ability to work within stringent deadlines.
  • High work standards and a mature, professional work attitude are essential.
  • Must be able to get along with others in a courteous and respectful manner.
  • Bachelor's degree in relevant field preferred. High School Diploma or equivalent required.
