Role/Responsibilities

Performs administrative functions including, but not limited to word processing scheduling, and coordinating projects, sales, and other office functions as needed.

Duties Include

  • Preparing proposals for clients
  • Bidding and pricing incoming projects
  • Selling the project when the incoming call comes in
  • Preparing the work folders for inspectors
  • Project Management from Conception to completion
  • Daily tracking and Coordination of field projects
  • Typing Reports as needed
  • Tracking of projects and generating statistical reports to ensure on-time delivery
  • Answer phones as needed & assist clients with general questions
  • Tracking and scheduling projects using the EVE program
  • Conducting follow-up with clients confirming appointments, re-scheduling times, and re-booking appointments.
  • Performing daily report generation and tracking of reports
  • Ensuring all reports and all supporting information are processed through the proper in-house channels and received by finance for invoicing and mailing.
  • Assisting other departments as needed.
  • Following up on all online leads
  • Assist with and attend Marketing Functions as needed

The duties and responsibilities described herein are not a comprehensive list and additional tasks may be assigned from time to time, or the scope of the job may change as necessitated by business demands. There are times when overtime hours are needed to complete the task.

Other Qualifications And Abilities

  • Associate degree in Business or related field OR 2+ years' experience in office administration or related field.
  • Excellent customer service and organizational skills, able to multi-task and work well as a team player.
  • Must be proficient in MS Word, Excel, PowerPoint, and Outlook.
  • Self-starter and ability to acquire new skills quickly.
  • Experience in instituting and conducting all phases of office procedures.
  • Experience in organizing and coordinating projects for maximum efficiency.
  • Ability to multitask simultaneously.
  • Ability to handle a "High Stress", "Fast Paced" job daily
  • Ability to handle large project scheduling with numerous vendors and clients.
  • Ability to conduct conflict resolution.
  • Ability to adapt to many different personalities.

PHYSICAL REQUIREMENTS

  • Ability to climb a ladder for files
  • Ability to type, answer phones, conduct clerical duties, and many times simultaneously.

The CSR will make recommendations and suggestions to the department supervisor to improve the effectiveness of the operation.
