Job Title: Administrative Development Coordinator
Status:Full-time/ Non-exempt
Reports toDirector of Development
Salary$22.00-24.00/hr. Benefits include health, dental, vision, matching 401k, access to professional development funds, etc.
Schedule: This position will typically work 8:30 am - 5 pm, Mondays through Fridays but will on rare occasions need to work evenings and/or weekends to support special Development events or deadlines.
Location: Portland In Office Tuesday - Thursday, remote Monday and Friday.
About the Organization: Lines for Life is a regional non-profit dedicated to preventing substance abuse and suicide. We offer help and hope to individuals and communities, while promoting mental health for all. Our work addresses a spectrum of needs that include intervention, prevention, and advocacy. We educate, train, and advocate to prevent issues of substance use, mental health challenges, and thoughts of suicide from reaching crisis levels. But when a crisis arises or support is needed, we are available 24/7/365 to intervene with personalized help.
Administrative Development Coordinator Position SummaryThe Development Coordinator will play an integral role in helping Lines for Life meet its annual fundraising goals. The Development Coordinator will work closely with the Director and Deputy Director of Development to draft donor correspondence, including proposals, coordinate donor and program meetings, manage donor and gift information, generate reports.

The Development Coordinator will work closely with the Director and Deputy Director of Development to draft donor correspondence, including proposals, coordinate donor and program meetings, manage donor and gift information, generate reports.
Administrative Development Coordinator Responsibilities
- Provide direct daily support to the Director and Deputy Director of Development.
- Support the development team in drafting donor correspondence, acknowledgment letters, proposals, and reports.
- Schedule and support donor and program meetings.
- Document donor, customer, and potential donor activity in Salesforce, including inputting data, and producing regular fundraising performance reports.
- Record all incoming gifts and oversee month-end reconciliation of gifts; online donations, employee matching through Benevity and YourCause portals, recurring monthly gifts, weekly checks, and conference sponsorships.
- Prepare correspondence, acknowledgment letters, reports, and proposals; document processes; and participate in special events and campaign activities as needed.
- Conduct outreach to identify and secure event donors and sponsors, for existing and potential new sponsors who align with Lines for Life's mission.
- Collaborate with businesses, local and statewide, for auction procurement at the annual Always Hope Gala, as well as for Donor Appreciation Month and other development events and campaigns.
- Connect with Grants Manager to update grant statuses into Salesforce from the Grants Matrix.
- Perform other administrative job duties to support the Development department as directed.
- Associate or Bachelor's degree in a related field (Business, Non-Profit Management, Finance, Communication, Social Services, etc.), preferred
- Familiarity with Salesforce or similar donor database; fluent in Microsoft Word, Excel, and PowerPoint.
- Warm, professional demeanor; positive and helpful attitude; strong customer service orientation.
- Ability to interact positively with a wide range of constituencies in person, via telephone, by email and in writing.
- Solid judgment and the ability to both self-initiate and ask for guidance as needed.
- Demonstrated ability to manage multiple priorities, follow through on projects, and be proactive and solution-oriented.
- Exceptional accuracy and attention to detail.
- High level of integrity and demonstrated judgment.
- Experience in an administrative position, preferably in a not-for-profit environment
- Excellent verbal and written communication skills
- Attention to detail and ability to present information concisely and effectively, both verbally and in writing
- Ability to organize and prioritize work
- Ability to work independently with little supervision
- Excellent interpersonal skills, flexibility, and ability to work effectively in a team environment
- Ability to work well with all levels of internal management and staff, as well as outside clients and vendors
