Here's a Summary Of Responsibilities

Under the supervision of the Director,Games Operations, and in collaboration with the GamesOperations team, theSpecialistwill supportthestrategic preparation and execution of the sport and logistical operations offor theSummerOlympicGames andYouthSummerOlympicGames.  This position will helpmanage sport entries, plan site visits, and communicate with key stakeholders, while also supporting the datathat is critical for successful Games. TheSpecialistwill support and promote the Olympic and Paralympic Movements and contribute to overall planning and implementation of Games Operations division priorities.

  • Contribute tothe planning andexecution for the sportandlogistical operations for theSummerOlympicGamesandYouthSummerOlympicGameswith a focus on supporting NGBs and assisting USOPC staff.Assist thePan American Gamesand Paralympic Games Directors with the above tasks as requested.
  • Lead andfacilitatethe Sport Entries and Late Athlete Replacement (LAR) process for theSummerOlympicGamesandYouthSummerOlympic Games.
  • Determine the Sport Entry process tocollect relevant data fromNational Governing Bodies (NGBs), if not provided bythe OrganizingCommittee (OCOG). Manage the distribution and collection of completed and signed forms to/from NGBs, collaborating with USOPC Delegation Management team to integrate existing Games Registration data to streamline processes for NGBs.
  • Per USOPC approved athlete nomination dates, and upon final verification from each NGB, collect and upload relevant data from NGB to submit final Team USA sport entries forms into OCOG’sGames Management System (GMS), collaborating with OCOG Sport Entry (SEQ) and Accreditation (ACR) teams.
  • Coordinate distribution of the official Team USA roster with internal partners in Communications, Athlete Services, and Sport Performance.
  • ManageLARprocess with expertise on the LAR sport-specific guidelines and relevant deadlines. Communicate any official Team USA roster changes with internal partners.
  • Build working knowledge of selection procedures and qualification systems and their impact on the sport entries process.
  • Manage and execute site visits for upcoming Games.
  • Collaborate with Games Operations,Olympic &ParalympicSport Performanceteams, Events&Logistics, NGBs, and otherrelevant stakeholderstodetermine objectives,timeframes, and budgetsfor each site visit.
  • Work with theOrganizingCommittee(s), NGBs, relevant departments, and local entities to create an itineraryfor each site visit.Secure local/expert contractors to provide support on the ground,as needed.
  • Determineplans and logistics for allhousing, transportation,andmeal needs.Partner with Events & Logistics to securebookings in-country.
  • Accumulate and create after-action reportsfor each site visit, presentingthe reports as requestedto relevant stakeholders.
  • Liaise and communicate with designated NGBs to provide and collectlogistics, performance, and travelinformationfor their teams,including but not limited toaccreditation, accommodations, air travel (including arrivals and departures), apparel, ground transportation, billbacks and special grants, shipping and freight, and rate cards. Provide information to USOPC departments,as needed.
  • Create,distribute,and trackGames surveys and follow-up to ensure surveys are completed. Compile survey results, assistthe Delegation Management teamwithdatainput,and support thereporting and distribution ofresults.
  • Collaborate with the Games Director,Delegation Managementteam,and other relevant USOPCdepartmentstohelp create theNGB Games PlanningStrategy andquadtimeline for theSummerOlympicGames and YouthSummerOlympic Games.
  • SupportDeliverables/Games Planningmeetings, includingdetermining frequency andmeeting agendas, scheduling meetings, preparingFunctional Arealeadsfor meetings, creating materials, collecting data, and assisting with follow-up items.
  • Establish and maintain appropriate communication channels for NGBsand relevant USOPCdepartmentsto includeGames presentations,resourcematerials(e.g.,iGames,SharePoint, etc.), webinars,emails,and other communications andupdatesfor stakeholders as needed. Create, update,and monitor KeyDates/Deadlinesdocument foriGamesforthe USOPC and NGBs.
  • Execute information collection and tracking forSummerOlympicGames, including:
  • Managegeneralcommunication withNGB partners anddelegation members.
  • Partner with theDelegation Managementteam tosupportall necessary data management and sport entry.
  • Assist Delegation App leadwith data collection, verification, and system implementation.
  • SupportGamesqualificationinformationby trackingselection procedures nomination dates,quotas earned, qualified athletes,and other qualification data(e.g., IF confirmation, etc.)in partnership with the Selection Procedures, Sport Performance, and Competition Calendar teams. CollaboratewiththeGames Operationsteamto ensure integrity of processes, auditing,and reporting in USOPC Event Management System and OCOG GamesManagementSystem.
  • Partner withSport Operationsteam to supportpurchase orders, expense reimbursements, contracts, and invoices for the Games Operations team.Assist with the bid process for external contractors as needed. Work with internal departments and external stakeholders, providing timely communication and follow-through.
  • Support the Games Director, and internal USOPC partners, with planning and managing Olympic Village housing, including but not limited to working with NGB partners through the initial allocation process and hand-off to Village Housing Lead prior to Games as necessary.
  • CoordinateRate Card process and ordering forrelevant Games. Distribute relevant information, including follow-up, to NGBs and internal departments. Collaborate with Sport Performance team to collect orders and submit delegation orders.Monitor submission, fulfillment,andpayment.
  • Oversee development, ordering, and distribution of commemorative items for Games, including coins, apparel, certificates, etc.
  • Perform Games roles assignments, including leadership roles,as requested by Games Operationsleadership.Provide Games-time support in assigned functional areas and/or Games processes while on the ground in the Games host city or remotely if not on site.
  • Partnerwith Games Operationsleadershipteamto support Games Staff Training, Games 101/Playbooks, and other projects as needed.
  • Perform other duties as assigned.

Here are the skills and experience you'll need to be effective:

  • Bachelor’s degreeor equivalent experience
  • Must possess orhave the ability toobtain a valid passport
  • Must possess a valid driver’s license
  • 2-3years of experiencein sport operations, events operations, and/or logistics management
  • Sportexperience preferred (i.e., active in competitive/intramural sports)
  • Proficiency with Microsoft Office products (Word, Excel, PowerPoint, Publisher, Outlook, SharePoint),Adobe
  • Strong customer service skills
  • Passion for sport and theideals of the Olympic and Paralympic Movement
  • Excellent written and oral communication skills
  • Strongorganizational skills and attention to detail
  • Detail-orientedwith strong analytical and logistical skills

  • Hiring pay range: $56,500-$62,000
  • This Full-time, Exempt position is intended to work 40hours per week.
  • Bonus: This position will be eligible for the Annual Incentive Award Program, which has a 10%target. The USOPC may change or eliminate this program at any time at its sole discretion.
