USGI is seeking a Background Investigations [BI] Administrative Specialist to provide DCSA Field Operations with Background Investigations (BI) Administrative and Program Support Services.
Background
The DCSA mission is to secure classified and sensitive information and technology in the U.S. industrial base against attack and compromise, ensuring that the federal and contractor workforce can be trusted with sensitive and classified information, and preserving military readiness and warfighting capabilities by identifying and defeating threats to the defense supply chain.
Duties and Responsibilities
- Perform record and file management functions, maintain electronic and physical files, and ensure accurate data gathering and entry per DCSA Policy.
- Assist in the in-and-out processing of civilian employees.
- Research, implement, and explain DoD, DCSA, and internal office operational policies, procedures, and requirements.
- Provide desk coverage and coordination of calendar and schedules, travel arrangements, and preparation of official correspondence.
- Assist in preparing time and attendance reports using an automated system.
- Interact with internal DCSA departments and occasionally with outside Government agencies.
- Be proficient with Microsoft Office Suite, creating documents from internal DCSA databases.
- Maintain data in DCSA internal databases containing sensitive or classified information.
- Respond to requests from internal and external offices and distribute correspondence as required.
- Maintain various databases and spreadsheets to support assigned Division/Directorates.
- Accurately collect and collate data for training programs and prepare reports.
- Provide administrative management and program support at regional headquarters and Field offices.
- Track/manage the BI inventory of equipment and vehicles.
- Send notifications for training sessions and update SharePoint sites as needed.
- Maintain/updating distribution lists for Outlook and organize Teams meetings.
- Update briefing slides and submit them for release approval, when applicable.
- Coordinate office service requirements, such as repairs and technical support, with the appropriate staff.
- Assist in budget report preparation regarding office supplies, training, and equipment.
- Troubleshoot minor issues with the DCSA network and telecom system.
- Assist with Safety Inspections and Self Inspections for assigned locations.
- Provide assistance in the Defense Travel System (DTS), enabling DoD travelers to arrange travel and process travel expense reports.
Minimum Qualifications
- U.S. Citizen
- High school diploma or equivalent
- Two years of relevant administrative and technical support experience
- Superior oral and written communication skills
Clearance
A Secret security clearance is required, with the possibility of starting with an interim clearance.
Position Hours/Location
Normal operating hours are 8:00 a.m. to 5:00 p.m. ET, Monday through Friday. Alternate work schedules may be arranged depending on mission needs.
