Summary:
The Office Administrator will be responsible for conducting and streamlining daily administrative operations to ensure organizational efficiency and effectiveness. This position is essential to maintaining an efficient, welcoming, and organized office environment. The ideal candidate will be energetic, flexible, resourceful, and dedicated to supporting the organization's daily operations and long-term goals. This dynamic role requires a versatile, proactive professional who can handle a variety of tasks with minimal supervision while providing exceptional support to employees and visitors.
Responsibilities:
- Manage office operations, procedures, and resources to maintain a productive work environment.
- Serve as the primary point of contact for office-related inquiries, ensuring timely and professional responses.
- Coordinate ordering, receiving, and organizing office supplies to ensure availability and neatness.
- Greet visitors, answer calls, and provide general support to guests and staff.
- Oversee the maintenance of kitchen, conference rooms, and common areas.
- Coordinate the ordering, delivery, setup and cleanup of food, beverages, and refreshments for on-site trainings and meetings.
- Plan, coordinate, and support meetings by arranging refreshments, preparing agendas, and setting up necessary equipment.
- Handle incoming and outgoing mail, including sorting, distribution, and notification to recipients.
- Manage relationships with vendors, service providers, and the building management team.
- Collaborate with HR to implement and maintain office policies and procedures.
- Assist with creating content for the company's intranet and supporting various departmental projects.
- Troubleshoot office equipment issues and coordinate repairs or replacements as needed.
- Run occasional errands to support office operations.
- Ensure the security, integrity, and confidentiality of office records and data.
- Perform other duties as assigned.
Qualifications / Requirements:
Associate's degree or equivalent experience preferred.
3-6 years of administrative, office management, or related experience.
Proven office management experience.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Exceptional organizational skills with strong attention to detail.
Excellent written and verbal communication abilities.
Customer service-oriented, professional, and reliable demeanor.
Ability to multitask, prioritize, and adapt to changing priorities.
Familiarity with basic office equipment, including copiers, scanners, and printers.
Travel/Misc.:
- No travel required.
- Must be comfortable running occasional local errands as needed.
