This position is on-site in our Little Rock office and requires in person attendance.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Recruitment – assist department managers and supervisors with recruiting qualified applicants for corporate and branch office job openings.
  • Responsibilities to facilitate the recruitment process may include:
  • Prepare or update job description.
  • Post open positions both internally and externally.
  • Liaison with staffing agencies for temporary staffing or external candidates, as required.
  • Review resumes and forward qualified candidates to the hiring manager.
  • Coordinate and schedule interviews.
  • Provide backup, as required, to set up required applicant testing and enter into the allocation spreadsheet.
  • Participate in the interview process.
  • Maintain confidentiality throughout the process.
  • Pre-Employment Checks – complete required background checks on potential new hires, including credit, criminal, regulatory compliance, education, verifications of previous employment, and personal references; enter background checks completed into the allocation spreadsheet.
  • New Hire Process – launch onboarding, schedule and conduct orientation, process employee fingerprints, complete data entry in HRIS, send memo to Payroll regarding first pay and prepare personnel action forms.
  • Termination Process – facilitate the termination process which includes identifying items/expenses owed to company, preparing necessary documents for the exit interview, terminate the employee in the HRIS system, prepare personnel action forms and obtain required signatures; file final documents in personnel file and move to the terminated files.
  • Process job changes, payroll changes and transfers in the HRIS system and send notification email.
  • Temporary Staffing - Schedule temporary associates and active temporary employees, as requested by departments; review resumes and interview associates to determine which associate is best qualified.
  • Timekeeping – may calculate and/or verify weekly, semi-monthly and/or monthly payrolls and maintain related records; assist with calculating initial and final pay for new hire and terminating employees.
  • Relocation – respond to questions regarding employee relocation expenses.
  • Maintain salary splits for positions allocated based on employee count in branch offices and send email to the Comp Change alias.
  • Offer Letters – review and monitor employee offer letters for exceptions and special circumstances; distribute information on Guaranteed Bonuses and Promissory Notes to HRIS Manager and Production Payout Accountants; maintain electronic folder of offer letter.
  • Special Vacation Accruals - enter exceptions to the vacation policy in the Special Vacation Database and assure correct vacation codes are entered in HRIS system.
  • Employment Verification – respond to verbal and written employment verifications in a timely manner.
  • Unemployment Claims – research and respond to written inquiries regarding unemployment insurance claims by required due date.
  • Name and Address changes – may update employee name and address in the HRIS system and email the necessary notifications.
  • Payroll Changes – provide guidance to employees on how to change direct deposit, federal, state or supplement tax withholdings in the HRIS system.
  • Assist employees with questions regarding Stephens' policies and procedures.
  • Provide back-up for other Human Resources Associates, including handling extra call volume for busy or absent team members.
  • Assist with training new Human Resources employees, as required.
  • Provide back-up for HR Administrative Assistant’s lunch break, and with monitoring phones and reception throughout the day, as required.
  • Perform other tasks as assigned by management.

EDUCATION AND/OR EXPERIENCE

  • Bachelor's degree in a related field.
  • 2+ years of related experience and/or training.
  • Equivalent combination of education and experience.

CERTIFICATIONS, LICENSES, AND REGISTRATIONS

  • PHR or SPHR preferred
