Position Summary
The Administrative Assistant is a full-time, non-exempt position based in our Salt Lake City, UT office. This position is responsible for providing administrative and project support to assigned attorneys and paralegals. The individual will be working in a dynamic environment that requires excellent organizational and follow up skills, handling a multitude of tasks simultaneously, independent thinking and self-direction, the ability to work well with people, and sharp attention to detail.
Compensation: At Spencer Fane, we carefully consider a wide range of factors when determining compensation, including your background and experience. These considerations can cause your compensation to vary. We expect the hourly rate for this position to start between $22.94 and $28.68, and will depend on your location, skills, qualifications, and experience. Primary Responsibilities
- Interacts with staff at all levels in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient.
- Assists with coordinating incoming and outgoing communications (including telephone, e-mail and fax). Communicates timely with clients in a professional manner with discretion and confidentiality.
- Handles invoice payments, and check requests.
- Responsible for printing, scanning and mailing of documents. Maintains accurate electronic filing and organizational systems with the highest regard for ease of use and timely retrieval of documents.
- Responsible for preparing, maintaining, and tracking all subpoenas for the Salt Lake office.
- Independently uses sound judgment and initiative to successfully execute against established deadlines.
- Assist paralegal with other client/matter related tasks.
- Provide back-up assistance to the Office Services team members.
- Other duties and projects as assigned.
Qualifications / Skills
- High School Diploma
- Experience in fast-paced office setting preferred
- Experience in law firm or legal department preferred, but not required.
- Execution-oriented, self-starter, and self-navigator who can prioritize tasks and balance the demands of multiple projects and stakeholders.
- Excellent oral and written communication skills, excellent organizational abilities, strong attention to detail and problem-solving skills.
- Advanced skills with Microsoft Office required, including, Excel, Word, and Outlook. Adobe experience preferred.
Physical Requirements
- Position is generally sedentary in nature; involves sitting most of the time, but may involve the need for inter-office mobility for brief periods of time
- Ability to occasionally or routinely lift up to 10 – 20 lbs.
- Ability to efficiently communicate
- Ability to perform repetitive motions
- Ability to see and read PC screens, detect color coding, read fine print, and/or normal type size print
