Post Closing Loan Receiving Specialist is responsible for receiving/sorting incoming mail, reviewing Signed Closing Packages, processing needed items to move file from funding to shipping, including uploading documents electronically into mortgage loan file. This person will be working closely with Title Companies, Closers, Sales, and Post Closing teams. Serves as liaison to VP of National Post Closing and Post Closing Team.

Position Summary
Post Closing Loan Receiving Specialist is responsible for receiving/sorting incoming mail, reviewing Signed Closing Packages, processing needed items to move file from funding to shipping, including uploading documents electronically into mortgage loan file. This person will be working closely with Title Companies, Closers, Sales, and Post Closing teams. Serves as liaison to VP of National Post Closing and Post Closing Team.
Essential Responsibilities
- Receive and sort incoming mail on daily basis.
- Audit Loan documentation for all appropriate signatures, notarizations, and dates to ensure documents are compliant with state, lender, and investor requirements.
- Follow up with Title Companies and Loan Officers to obtain incorrect or missing documents.
- Scan and index all closing packages and miscellaneous items for residential mortgage and consumer loan files into Loan Origination System.
- Complete data entry in the Loan Origination System Post Closing Hub to move file from Funding to Shipping.
- Activate, pay, process, and log all MI/MIP/Upfront Funding Fees daily for files received.
- Prioritize files by completing priority files within specified timeframe.
- Research and request outstanding trailing documents from Title Company.
- Maintain organization of multiple types of files and provide information on the status of files.
- Provide exceptional customer service to both internal and external customers.
- Maintains a professional image and standards consistent with company policies and procedures.
- Responsible for a high level of confidentiality and security while handling company information; verbal and/or written documentation.
- Performs other tasks as requested.
Knowledge, Skills and Abilities
- Ability to read, write, and communicate at a level consistent with the requirements of this position, including legal documents and to non-technical staff.
- Ability to clearly organize information, understand relevant laws, identify, and fix any financial discrepancies that may arise, and perform mathematical equations accurately.
- Ability to learn and support new systems and applications and use critical thinking to make informed decisions and meet deadlines.
- Demonstrated ability to handle multiple projects and details simultaneously; hold self to a high level of quality.
- Must be self-motivated and enthusiastic to obtain personal and company goals.
- Ability to stay organized to easily retrieve information and documents as needed.
- Flexibility to adapt to peak periods of heavy workload and pressure.
- High school diploma or equivalent is required.
- Minimum of two years overall mortgage lending experience, preferred.
- Post-Closing experience, preferred.
- Proficient with MS Office including Word, Excel, and PowerPoint.
- Must maintain industry standard training according to company policies.
Physical Demands:
- Mostly sedentary, however, while performing the duties of this job, the employee is occasionally required to walk; stand: reach with hands and arms; stoop; talk and hear.
- Extensive reading and computer use is expected more than 50% of the time. Receiving and expressing detailed information written, verbally, in person, and by telephone is essential.
- Must be able to verbally communicate effectively with others.
- Occasionally lift and/or move up to 15 pounds.
- Regular attendance is necessary and essential for this position.
- Professional atmosphere in a branch environment
- Routinely uses office equipment such as computers, phones, photocopiers, filing cabinet and fax machine.
