Position Overview:
Illumination is seeking a proactive and highly organized HR & Recruitment Assistant to join our team. This role will provide critical support to both the Head of HR and the Senior Director of Talent Recruitment, assisting with key recruitment processes and ensuring a seamless candidate experience. Additionally, this position will support the Head of HR with various day-to-day responsibilities.
The ideal candidate is detail-oriented, highly organized, and possesses strong communication and computer skills. They should be able to multitask effectively in a fast-paced environment while maintaining a high level of professionalism and discretion.
This is an on-site position based in Santa Monica, requiring in-office presence a minimum of four days per week.
Key Responsibilities:
- Team Support: Provide general administrative support to the HR & Recruiting executives, including calendar management, preparing reports, and maintaining confidential HR files.
- Job Posting: Create and manage job postings on various platforms, including job boards, social media, and the company’s career site.
- Interview Coordination: Schedule and coordinate interviews between candidates and hiring managers, ensuring a smooth and professional process.
- Candidate Experience: Ensure a positive candidate experience by providing timely communication, addressing any questions or concerns throughout the process, and hosting the candidate for onsite interviews.
- Applicant Tracking: Maintain and update the applicant tracking system (ATS), daily recruitment tracker, and the artist database to ensure accurate and up-to-date candidate information.
- Onboarding: Assist with the onboarding process for new hires, including paperwork and orientation scheduling.
- Reporting: Prepare recruitment metrics and reports to evaluate the effectiveness of recruitment strategies and processes.
- Collaboration: Work closely with hiring managers and HR team members to understand hiring needs and provide support throughout the recruitment process.
- Employee Engagement: Create flyers and communications for employee events. Assist in the execution of events.
- Special Projects and Research as assigned
Qualifications:
- Education: A bachelor’s degree in human resources or business administration or a related field is preferred.
- Experience: Minimum of 1-2 years of experience in a recruitment or HR support role.
- Skills:
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Graphic design skills a plus.
- Familiarity with applicant tracking systems (ATS) and recruitment tools.
