Key responsibilities include assisting the Sales team with administrative tasks and customer support, as well as collaborating regularly with Senior Management, Regional Managers, Sales Team Members, Store Managers, and external vendors to contribute to the overall success of the business.

Requirements
Sales Responsibilities:
- File hard copies of customer information
- Verify software support invoices
- Process travel and expense reports
- Coordinate donations
- Request warranty repaint credits
- Assist with planning and supporting annual sales meetings as needed
- Manage and coordinate the Learning Center calendar, attendee lists, promotions, distribution, and catering requirements
- Organize office events
- Occasional involvement in Sales and Operations events
- Process check requests for upfront customer investments
- Process salesperson statements
- Manage the sports ticket program
- Print and send monthly promotions to field sales and store teams
- Perform additional responsibilities and special projects as needed
- Providing a warm reception to visitors
- Monitoring of the company email box
- Manage office supply inventory and coordinate servicing of office equipment
- Assist in coordinating office building maintenance, including HVAC, plumbing, electrical systems, cleaning services, and landscaping
- Ensure the lunch room and Learning Center remains clean and well-stocked
- Design and create store signage and communications for holidays, special events, and other announcements
- Oversee the office recycling program.
- Coordinate UPS and FedEx shipments.
- Organize monthly birthday celebrations and acknowledgments.
- Oversee fleet vehicle registrations, toll passes, and fuel card management.
- Coordinate proof of insurance for fleet vehicles.
- Support the fleet management workflow by assisting with ticket processing and tracking through KPA.
- Monitor tolls and citations
- Fluent in English is required (proficiency in Spanish is a valuable asset)
- A high school diploma or GED is required. Associate degree preferred.
- 2-5 years of experience in administrative or receptionist roles
- Experience in customer service or office management is a plus
- Communication Skills: Strong written and verbal communication skills are essential. You’ll need to interact with clients, visitors, and staff professionally and clearly.
- Organizational Skills: Ability to multitask, prioritize tasks, and keep the office running smoothly, managing appointments, schedules, and office supplies.
- Customer Service: Providing excellent service to visitors, clients, and callers, with a friendly and professional demeanor.
- Technology Proficiency: Familiarity with office software such as Microsoft Office Suite (Word, Excel, Outlook), and office equipment (multi-line phone systems, fax machines, printers, etc.).
- Learn and apply the use of the company's Comcept system
- Time Management: Ability to manage time effectively, handling multiple tasks and responsibilities efficiently.
- Problem-Solving: Ability to handle various situations or issues that arise with professionalism and good judgment.
- Attention to Detail: Ensuring that all information is accurate and tasks are completed without error.
- Professional Appearance and Demeanor: Since receptionists are often the first point of contact, it’s important to maintain a professional and approachable appearance.
- Adaptability: Ability to handle changing priorities and adapt to new tasks or work environments
