Fleet Administrator Position

Reports to VP of Fleet Management

Purpose

This position will work hand in hand with equipment management, service technicians and maintenance personnel. Inputs fleet information into Cyclone’s Fleet Maintenance system, (B2W). The information comes from field inspections and the supervisor’s call for service. There will also be times to communicate with dealer service personnel for repair & maintenance assistance. The position is responsible for weekly reporting to company leadership and field supervisors. Alone with equipment and vehicle correspondence, the position will assist with Cyclone’s Transportation Dispatching via the process of maintaining correspondence related to ship & receive of Cyclone’s equipment.

Task

Create repair work orders – Equipment and Vehicle Fleets

Forward work orders to Equipment Manager for assignment

Enter time against work orders

Enter parts against work orders

Create Equipment Fleet Preventive Maintenance work orders and update machine file in system

Create Vehicle Fleet Preventive Maintenance work orders and update machine file in system

Edit/delete repair request

Create and manage user accounts in B2W system

Process all Fleet related vendor invoices into system for payment

Daily Inspection Reports – Create work orders for machine deficiencies reported and forward to Equipment Manager

Process all Fleet related vendor invoices into system for payment

Submit timecards to payroll

Create & manage purchase order numbers

Create & manage SOS resample task

Create weekly utilization reports and distribute them to the team each Monday morning

Create weekly (WIP) work in progress report and distribute to team each Monday morning

Receive and organize Fleet related vendor invoices for approval

Transport Dispatch

Maintain Dispatch pickup and delivery log.

Assist with permits as needed

Assist with Drivers Log

File all inspections for trucks and trailers

Process invoices in system for payment

Maintain Machinery Fleet list

Maintain Vehicle & Trailer Fleet list

Assist with annual vehicle tag renewal for vehicle and trailer fleet

Maintain vehicle and equipment files

Ordering and maintaining our Peach Pass account

Requirements

High School Graduate. Associate degree or Vocation Graduate a plus

Very good clerical skills

Very good computer and Microsoft Office skills

Excel, Data entry, Google Workspace, a must

Great verbal and written communication skills

Ability to work in office, Monday through Friday, 7:30 AM to 5:00 PM
