Job Description:

The Social Work Assistant provides a combination of administrative support, general office duties, and coordination within the mental health department. This role requires a high level of organization, attention to detail, and effective communication, ensuring a smooth operation of mental health services and maintenance of accurate records.

Key Responsibilities

Administrative Support:

  • Maintain EMR Files: Organize and ensure the accuracy of electronic medical records (EMR) for clients, including scanning client interactions, progress, and all relevant information into EMR.
  • Data Entry & Reporting: Assist with tracking and collecting data for monthly statistics, Continuous Quality Improvement (CQI), 730 evaluations, and reentry planning.
  • Coordinate 730 Evaluations: Schedule appointments with 730 doctors and maintain electronic records for 730 evaluations. Communicate regularly with courts, judges, county and custody staff to ensure timely evaluations and reports.
  • Appointment Scheduling: Organize appointments and generate provider lists from the Fusion system to ensure timely coordination of services for clients.

General Office Duties

  • Office Management: Handle office tasks such as filing, ordering supplies, and ensuring a clean, organized work environment for the mental health team.

Qualifications

  • Strong Organizational Skills: Ability to manage multiple tasks efficiently, prioritize work, and maintain an organized and functional work environment.
  • Communication Skills: Strong verbal and written communication abilities to interact effectively with clients, providers, and external stakeholders.
  • Attention to Detail: High level of attention to detail, ensuring accuracy in record-keeping, data entry, and scheduling.
  • Experience: Previous experience in administrative support or social work, especially in a mental health setting, is preferred.
  • Tech-Savvy: Proficiency with office software (such as Microsoft Office/Excel) and EMR systems is preferred.
