The anticipated salary for this position starts at $42,300+ for the Assistant role and $46,600+ for the Administrator role. The final pay will be determined based on several factors, including qualifications, experience, education, and years within the job or industry, with a strong emphasis on maintaining internal equity.

What We Are Looking For

As a member of our development administration team, the Development Assistant/Administrator will assist our major gift officers for both the School of Business and School of Education & Human Sciences to ensure that everyone has the support to provide the most impact.

Hybrid Work Environment

This position offers a hybrid work schedule, with the flexibility to work remotely for part of the week. However, the role requires multiple days per week on-site at our Lawrence, KS office to ensure effective collaboration, team engagement, and alignment with organizational goals.

What’s a typical day look like?

  • Provides administrative support to multiple professional development staff. Prioritizes projects and deadlines; juggles multiple tasks; and asks for assistance from other administrative support staff, when necessary.
  • Coordinates calendars, arranges appointments, makes reservations, sets meetings, and assists with travel arrangements. Processes travel expense reimbursements, documents business expenses, and assist with maintaining donor contact reports.
  • Drafts correspondence and gift acknowledgement letters. Prepares mass mailings. Prepares forms to help process donor gifts. Draft fund agreements, donor proposals, pledge forms and other donor related giving forms and reports. Guides fund agreements, planned gifts, etc. through the signing, approval, and submission process. Provides follow-up and stewardship details as needed.
  • Prepares or runs accounting and donor-related reports (giving history, fund transactions, donor information, and proposals). Searches databases, retrieves information, and prepares reports, sometimes involving researching, analyzing, and compiling non-standardized data or information of a complex nature. Asks for assistance from KUEA colleagues, as necessary.
  • Prepares Development Directors for travel by assembling donor packets and working with campus partners to ensure timely materials are included. Puts together relevant donor fund reports and provides information from donor profiles for the Directors.
  • Works closely with the relevant Deans and administrators to respond to questions and prepare requested information. Prepares directors for Board meetings.
  • Prepares, organizes, and maintains appropriate files for each constituency area.
  • Assists KU Endowment staff, donors, and KU departments with requests for information.
  • Follows KU Endowment policies and procedures.
  • Provide assistance with events and donor recognition programs for the University.
  • Regular and reliable attendance is essential for this position.
  • Performs other work as directed or required.

What’s Required To Be Considered

  • Training and experience should be the equivalent of that normally received by graduation from high school with courses in word processing and office administration.
  • Development Assistant requires one to three years of administrative support experience with considerable skill in word processing and common computer systems (Word, Excel, and Outlook), or equivalent.
  • Development Administrator requires three to five years of administrative support experience.
  • Database experience preferred.
  • Must have experience with office practices and procedures and be proficient in English, grammar, spelling, punctuation, and basic math (including some statistics).

  • Attention to detail and proofing of work is required, and the ability to exercise good judgment in making decisions.

Physical Requirements

  • A valid driver’s license.
  • Must have access to reliable transportation to travel between multiple locations for training, donor meetings, networking, events, and/or work-related activities.
  • Must be able to respond quickly and effectively to directions and safety hazards.
  • This job operates in a professional office environment. This role routinely uses standard office productivity machinery such as computers, keyboards and a mouse, laptops, phones, photocopiers, filing cabinets and fax machines.
  • This is largely a sedentary role; however, some filing is required. This would require the ability to move files, open filing cabinets and bend or stand, as necessary.
  • The ability to observe details at close range (within a few feet of the observer).
  • The person in this position frequently communicates with donors, colleagues, students, and general public. Must be able to communicate with others effectively.
  • Physical effort/lifting, such as medium-up to 50 pounds; heavy-over 50 pounds.
  • Rare travel requirements can include the following, evenings, weekends, and out-of-town overnights as a regular part of the job.
