Job Summary

This is a full-time professional position providing key administrative and operational support to the COO and AVP of Clinical Services. This position is Monday to Friday in office role. This position offers support to Clinical Services Leadership (Care Navigation, Community Based Hospice, Hospice Home, Family Support Services, Transitions Kids). The schedule for this position is Monday-Friday 8:30am-5:00pm; occasional weekends; holidays as needed.

Responsibilities What You Do

  • Provide high level administrative support to the COO and AVP of Clinical Services and serves as a key point of contact with internal and external stakeholders.
  • Serves as a liaison for the Clinical Education team, assisting with scheduling, planning and managing sessions.
  • Develop and maintain calendars for COO and AVP of Clinical Services including but not limited to scheduling of appointments and meetings, managing and coordinating meetings, arranging for meeting space, event planning.
  • Process Improvement Tracking and trending for COO and AVP.
  • Determine priority of matters of attention for the COO and AVP of Clinical Services; redirect matters to staff to handle, or handle matters personally, as appropriate.
  • Keep the COO and AVP of Clinical Services advised of time-sensitive and priority issues, ensuring appropriate follow-up.
  • Maintain confidential and sensitive information.
  • Plan and organize and set up for Clinical Celebration events
  • Serve as a scribe and project management for project meetings
  • Assist with tracking the status of clinical service recoveries to determine if the situation is improving or deteriorating in collaborating with quality department.
  • Schedule Executive and leadership meetings; assist in the preparation and distribution of meeting agendas and materials and maintain timely meeting minutes.
  • Develop, organize and maintain files (as well as agency files) and resource materials.
  • Approve Clinical Services Leadership time-cards bi-weekly, including approval/denial of vacation requests.
  • Draft correspondence and other written materials for COO and AVP of Clinical Practice.
  • Screen calls, voice mail, prioritize and process mail/email for COO and AVP of Clinical Practice.
  • Screen unplanned visitor (Sales Calls) for COO and AVP.
  • Coordinate travel and accommodations for COO and AVP of Clinical Practice.
  • Coordinate special projects and reports and provide research as requested by COO and AVP of Clinical Practice.
  • Perform other duties as assigned by supervisor.

Requirements What You Need

  • Associate Degree in Business Administration and/or a minimum of 3 years experience in a health related field; Executive level experience required
  • Must possess excellent organizational skills and writing skills.
  • Detail oriented and ability to multitask.
  • Ability to handle confidential information.
  • May be required to sit at a computer monitor and use repetitive motion techniques for prolonged periods of time.
  • Must have sensory abilities to complete communication and documentation requirements of the job.
  • May be required to lift up to 30 pounds.
  • Computer literacy, including proficiency in Microsoft Outlook, Excel, Word and PowerPoint.
  • Master necessary TL agency software programs.
