This role provides administrative support to the Palm Beach Gardens Office utilizing a high degree of confidentiality, professionalism, integrity, and good business judgement. The Office Administrator plays a vital role in our company.

This role provides administrative support to the Palm Beach Gardens Office utilizing a high degree of confidentiality, professionalism, integrity, and good business judgement. The Office Administrator plays a vital role in our company.
Essential Duties And Responsibilities
- Welcome and greet visitors, in person or on the telephone in a consistently professional & courteous manner, answering or directing inquiries. Interface with internal contacts at all levels of organization on a regular basis with great interpersonal skills
- Sort and distribute all incoming and outgoing US Postal, Fed Ex, and UPS mail. Additional duties may include emailing, scanning and filing.
- Assist with company event planning, including coordinating lunches for employee meetings, or making reservations.
- Assist in setting up new and visiting employee work areas.
- Oversee the maintenance and repair of office equipment, and electrical and mechanical systems.
- Responsible for maintaining inventory and ordering snacks and office supplies, as well as cleaning and stocking kitchen and conference rooms on a continuous basis.
- Monitor the office to ensure that it remains organized, presentable, safe and secure.
- Facilitate visits and maintain courteous relationships with vendors acting as a liaison between company and vendors. Maintain vendor contact information, including tracking certificate of insurance expirations.
- Assist with the calendar management, meeting scheduling, visiting employee travel arrangements.
- Provide administrative support to Executive leader(s).
- Assist with special projects and perform other duties as assigned.

- Bachelor’s degree in business administration or related field.
- Previous experience as an administrative assistant or in a similar role.
- Experience supporting high level executives.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and other relevant software.
- Understanding of office management procedures and protocol.
- Attention to detail and ability to problem-solve quickly and efficiently.
- Demonstrates a high degree of integrity and confidentiality.
- Excellent interpersonal and communication skills, both written and verbal.
- Excellent time management skills.
- Adaptability, flexibility, and champion of change for improvements and efficiencies.
- Extreme attention to detail and organizational skills, with ability to multi-task and prioritize tasks.
- Valid state driver’s license required.
- High degree of professionalism.
