We are looking for a reliable and organized Fleet Coordinator to manage and oversee the day-to-day operations of our fleet. This role involves ensuring that all vehicles are properly maintained, monitored for performance, and compliant with safety regulations. The Fleet Coordinator will also be responsible for scheduling vehicle use, managing fuel and maintenance records, and assisting in the acquisition/disposal of new vehicles as needed.

This position requires a combination of office work and occasional travel to oversee vehicle maintenance, inspections, and fleet operations. Must be able to lift up to 25 lbs.

We are looking for a reliable and organized Fleet Coordinator to manage and oversee the day-to-day operations of our fleet. This role involves ensuring that all vehicles are properly maintained, monitored for performance, and compliant with safety regulations. The Fleet Coordinator will also be responsible for scheduling vehicle use, managing fuel and maintenance records, and assisting in the acquisition/disposal of new vehicles as needed.
Responsibilities
- Fleet Management:
- Oversee and coordinate the daily operations of the vehicle fleet.
- Schedule regular maintenance and repairs for all fleet vehicles to ensure minimal downtime.
- Monitor fleet vehicle utilization and maintain up-to-date records.
- Vehicle Maintenance:
- Ensure all vehicles are serviced on time and in accordance with manufacturers' recommendations.
- Keep detailed records of all maintenance, repairs, and inspections.
- Work with external service providers and vendors to manage repairs and servicing.
- Compliance and Safety:
- Ensure all vehicles comply with regulatory requirements, including emissions testing, registration, insurance, and licensing.
- Monitor regulated drivers Hours of Service and Pre Trip Inspections.
- Ensure that drivers adhere to safety protocols, road laws, and company policies.
- Keep track of driver certifications, licenses, and any other required training.
- Cost Management:
- Monitor fuel usage and expenses, identifying opportunities for cost savings.
- Track and manage the fleet’s operating costs, including fuel, maintenance, and insurance.
- Work within budget constraints to optimize fleet performance and efficiency.
- Data Management & Reporting:
- Maintain accurate fleet management records, including vehicle logs, maintenance history, fuel consumption, and insurance.
- Generate and analyze reports on fleet performance, costs, and usage to present to management.
- Driver Coordination:
- Communicate regularly with drivers to ensure optimal vehicle usage and address any concerns.
- Provide support for drivers in terms of vehicle operation, maintenance instructions, and safety guidelines.
- Vehicle Acquisition & Disposal:
- Assist with the purchasing or leasing of new vehicles as needed.
- Coordinate the disposal or sale of older vehicles, ensuring compliance with company policy and environmental guidelines.
- High school diploma or equivalent; degree in logistics, transportation, or business administration is a plus.
- Proven experience in fleet management or a related field.
- Strong knowledge of vehicle maintenance and safety regulations.
- Excellent organizational and time-management skills.
- Strong communication and interpersonal skills.
- Proficient in fleet management software and Microsoft Office Suite.
- Ability to work independently and prioritize tasks effectively.
- Valid driver’s license (and a clean driving record) is required.
- Create positive and productive working relationships with the leadership team.
- Experience with GPS and fleet tracking software.
- Knowledge of cost-effective fleet management practices.
