Summary
We are seeking a highly professional and friendly office administrator to provide support to the Executive Leadership Team, to manage front desk operations, and to perform a variety of administrative tasks around the company that support productivity, employee engagement, and exceptional experiences for all guests. The ideal candidate will be experienced and proficient at working with senior executives to manage calendars, organize meetings, and lift administrative burdens to fuel productivity.
The person will also be tenacious about efficiency and productivity, working to ensure various administrative tasks around the offices/facilities are handled well and in a timely manner. In addition, this person will be the first point of contact for many visitors, prospective employees, and clients and will ensure a fun, high energy, and positive impression that enhances the company’s ‘good name and reputation’. Lastly, the person will help drive employee engagement and retention by handling various activities that bring employees together and promote the culture of the company.

Safety Equipment: Requires periodic use of steel toed shoes, hearing protection, and safety glasses when entering the production environment.

Effective oral and written communications are essential, as are interpersonal skills. Ability to communicate in a highly professional manner and to create welcoming and engaging conversation is essential. The ability to work effectively in a team environment is also required.

Eager to continue learning and growing themselves while assisting others to do the same. Must have a willingness to self-reflect, adjust, and improve on personal growth.
Language Skills
Able to read and interpret documents such as operating instructions and procedure manuals. Able to write standard documentation. Able to speak effectively before groups of customers or employees of organization.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Able to compute rate, ratio, and percent. Calculate figures and amounts such as dimensions, tolerances, proportions and percentages. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Physical Demands
While performing the duties of this job, the employee is frequently required to sit/stand; talk or hear; and use hands to finger, handle, or touch objects or controls. On occasion the incumbent may be required to stoop, bend or reach above the shoulders. The employee is required to talk or hear. The employee is occasionally required to stand; walk; sit; reach above shoulders; climb or balance; and stoop, kneel, crouch, or crawl.
Work Environment
Must have effective PC skills to include Microsoft Office software such as Excel, Word, PowerPoint, and Outlook. Demonstrated ability to work under pressure and with frequent, established deadlines is required. Organizational and analytical skills are required. The ability to work effectively with diverse populations is required. The ability to be agile and multi-task between high variety of tasks throughout the day is required.

Essential Duties And Responsibilities

- Greet and welcome visitors in a warm and professional manner. Ensure guests are made aware of policies/practices and sign documentation, as required, for safety, GMP’s, intellectual property, etc. Maintain reception area to provide an excellent guest experience. Provide basic information to clients and visitors regarding company services.
- Maintain office security and safety by following all safety procedures and controlling access.
- Answer and direct phone calls to the appropriate departments or individuals. Monitor cameras/calls at entrances to company facilities, validate/verify visitors, page parties responsible to meet guests / grant access.
- Support the CEO and other members of the Executive Team on appointment scheduling, calendar management, travel planning/arrangements, and expense reporting/reimbursements.
- Support planning / execution of events and meals for employee events, customer visits, Board meetings, sales meetings, etc.
- Handle incoming and outgoing mail, packages, and deliveries.
- Maintain inventories of office, R&D lab, break-room, safety, first-aid supplies. Place orders, as needed, to replenish.
- Maintain break-room PowerPoint slides / bulletin boards, ensure timely updates. Monitor break-rooms/facilities for any cleanliness/maintenance needs and notify appropriate teams to address deficiencies.
- Develop routine and ad-hoc employee engagement activities / events (holiday parties, picnics, potlucks, etc) with support from other team members (i.e. organize volunteers/committees).
- Assist with administrative tasks such as data entry, filing, and record-keeping. Organize and maintain files for legal documents. Assist with assembly / updating of PowerPoint presentations.
- Coordinate with other departments to ensure smooth office operations.

Education And/or Experience
- High school diploma or equivalent; Associates degree and/or additional certifications in office administration is a plus.
- Proven experience as an office administrator, executive administrator, or similar roles.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask and prioritize tasks effectively.
- Strong organizational skills and attention to detail.
- Professional appearance and demeanor.
- Ability to work independently and as part of a team.
