Job Summary

This is a full-time professional position providing administrative support to the CMO and Medical Staff. The schedule for this position is Monday-Friday 8:30am-5:00pm; holidays as needed.

Responsibilities What You Do

  • Develop and maintain calendars for CMO and Medical Staff, including but not limited to scheduling of appointments and meetings, managing and coordinating meetings, arranging for meeting space, event planning
  • Use online scheduling system to display schedules for Medical Staff – PTO, CME, on-call, holiday schedules
  • Manage medical team calendar in online scheduling system and communicate last minute provider scheduling
  • Communication of approval/denial of vacation requests
  • Schedule medical provider monthly meetings, assist CMO in coordinating presentation, keep attendance and minutes
  • Attend meetings as requested by CMO to record and distribute minutes.
  • Develop, organize and maintain files (as well as agency files) and resource materials for Medical Team.
  • Prepare and secure initial credentialing documents for new providers to forward to third party provider credentialing service and provide oversight and approval to third party provider regarding provider billing and timeline for getting providers credentialed
  • Maintain and update provider credentialing spreadsheet
  • Assure new providers are added to Liability Insurance
  • Act as liaison to getting providers credentialed at local hospital systems and partners
  • Monitor and approving any shadowing, orientation or rotations in hospice home facility and WakeMed for medical staff, students, residents or fellows
  • Scheduling and coordinating activities for new Medical Staff orientation.
  • Coordinate special projects and reports as requested by CMO.
  • Perform other duties as assigned by supervisor.

Requirements What You Need

  • Associate degree or 5 years’ experience in a health-related field providing health care administration
  • Must possess excellent organizational skills and writing skills.
  • Detail oriented and ability to multitask.
  • Ability to handle confidential information.
  • May be required to sit at a computer monitor and use repetitive motion techniques for prolonged periods of time.
  • Must have sensory abilities to complete communication and documentation requirements of the job.
  • May be required to lift up to 30 pounds.
  • Computer literacy, including proficiency in Microsoft Outlook, Excel, Word and PowerPoint.
  • Master necessary TL agency software programs.
