Position Summary
As the Administrative Assistant, reporting directly to the Dispatcher, you will provide high-level clerical and operational support in a fast paced environment. This role works side by side with and takes direction from the Dispatcher to support daily operational tasks, while also assisting the General Manager and broader leadership team with administrative responsibilities. The ideal candidate is reliable, detail-oriented, and thrives in a setting with heavy phone volume, data entry, and hands-on support needs. This position will be responsible for compiling and maintaining records of business transactions and performing office activities.
Essential Job Functions
This position has no supervisory responsibilities.

QUALIFICATIONS:
This is largely a sedentary role. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

This position will be responsible for compiling and maintaining records of business transactions and performing office activities.
Essential Job Functions
- Manage heavy phone volume in a fast-paced environment, delivering excellent customer service while multitasking between calls, data entry, and internal coordination.
- Accurately enter and maintain data using Microsoft Excel, Access database, SQL Server, and other Microsoft Office tools (Word, PowerPoint).
- Gather and forward customer information for new services; resolve and escalate issues related to invoicing.
- Support the leadership team and GM with administrative tasks, filing, and document management.
- Maintain accurate records and ensure 100% data accuracy in all documentation and system entries.
- Prepare and organize documentation for daily operations, including manifests and driver mileage logs.
- Scan, file, and distribute documentation to appropriate departments or agencies as required.
- Assist in the collection process; follow up on outstanding payments as needed.
- Provide general support for dispatch operations and receive training in Roadnet and Sage systems to serve as a backup for dispatching duties .
- Assists the GM and leaders with delegated Admin tasks.
- Greets and assists visitors.
- Collects, gathers, organizes and scans documents to the appropriate department.
- Researches missing or incomplete manifests and responds appropriately.
- Responds to customer concerns and questions.
- Complete special projects and other duties as assigned.
This position has no supervisory responsibilities.
Qualifications
QUALIFICATIONS:
- High School Diploma or GED required; associate degree preferred.
- 5–7 years of administrative experience in a fast-paced, manual process environment.
- Advanced proficiency in Microsoft Excel, with working knowledge of Access, Word, PowerPoint, and SQL Server.
- Exceptional accuracy and attention to detail in data entry and document processing.
- Experience in transportation, dispatch, or related industry preferred.
- Collections experience is a plus.
- Bilingual in English and Spanish required.
- Strong organizational and time-management skills with the ability to work independently.
- Excellent interpersonal, written, and verbal communication skills.
- Consistent, dependable, and self-motivated with a proactive approach to problem-solving.
