Position Purpose

The HRIS specialist is an expert in human resources management systems. They collect data and analyze it to improve HR strategies and processes and suggest ways to increase productivity and workflow of the HR department. They manage and lead HR system implementation and development of HR processes. They play a key role in defining how HR systems can be optimized to support a positive employee experience. This position will also serve as part of the HR team in general responsibilities and will be a resource and offer guidance to employees. As part of the Human Resources team, this position models expected behavior according to The Capital Way and Capital’s mission and values.

Essential Responsibilities

  • Provide expertise in human resources management systems.
  • Collect data and analyze it to improve HR strategies and processes, as well as suggest ways to increase the functional productivity and workflow of the HR department.
  • Complete projects, both within Human Resources and cross-departmentally, related to HR technology, including but not limited to: creating/modifying workflows, checklists, custom reports, etc.
  • Maintain relationship with HRIS vendor, research, share learnings, and recommend enhancements or changes.
  • Review existing functionality and business processes and suggest changes to increase productivity and efficiency.
  • Monitor and ensure data integrity, ensure data is accurately processed and maintained according to organization rules and regulations.
  • Audit and maintains security roles in the HRIS defined by VP Human Resources.
  • Set up and conduct system audits to ensure accuracy and confidentiality of information.
  • Attend trainings and seminars to maintain awareness of technology changes, updates, and upgrades.
  • Create and edit reports, analyze information, and share insights.
  • Develop user procedures, guidelines, and documentation. Provide training for system users.
  • May complete special projects as assigned by VP Human Resources.
  • Manage requests for process improvements, system enhancements, and the development and/or purchase of new software applications.
  • Act as a lead for HRIS system implementation, including continued testing and configuration, system optimization post go-live, and coordination and management of cross-functional teams and systems.
  • Ensure applications integrate into existing and planned infrastructure.
  • Actively identify and resolve issues or opportunities for enhanced user experience and other HRIS integrations.
  • Develop, document, and maintain all current and new HRIS business process workflows for efficiency and compliance.
  • Communicating effectively with project teams and vendors.

Necessary Experience And Qualifications

  • An associate degree or bachelor’s degree preferred but not required in Business Administration with an emphasis in Human Resources or Information Systems.
  • Two to three years experience managing HRIS systems and reporting tools preferred. UKG experience is required.
  • Experience managing HRIS changes/implementations.
  • Skilled in demonstrating innovation and creativity by continually improving internal processes and HRIS systems.
  • Detail and process-oriented individual, able to partner with non-technical individuals to understand user needs and translate needs into technical requirements.
  • Effective collaboration and communication skills to work with the HR team, as well as other teams within the organization, and vendors.
  • Knowledge of both theoretical and practical aspects of project management and process improvement.
  • Strong problem solving/analytical skills with attention to detail and a high level of accuracy.
  • Ability to balance multiple priorities.
  • Ability to work both independently and with cross-functional teams using good judgment.
  • Proficient in Excel and managing data.
  • Must maintain strict confidentiality.
  • Ability to apply policies, laws, and regulations when analyzing and recommending course of action in a variety of situations.
  • Ability to stay in one place or work in a confined area for extended periods and to transport objects weighing between five and twenty pounds for one percent of work time.

Work Environment And Physical Requirements

  • Office environment with moderate level of noise
  • Frequent use of telephone, copier, computer, fax machine and other office machines
  • Prolonged sitting or standing
  • Frequent mental and visual concentration
  • May travel occasionally for meetings, seminars, or conferences.
