The Payroll Manager reports to the Vice President of Human Resources and is located at our corporate office in Elkhart, IN. The position leads the payroll function which involves high volume processing, ensuring the accuracy and timeliness of payroll remittances. Ensures compliance requirements are met through sound processes, systems, and procedures, including solid internal control within an environment including the appropriate segregation of duties. Complies with federal and state laws and regulations applicable to the areas of labor and payroll. Performs on-going analysis of the functions to identify opportunities for enhanced efficiency and effectiveness. Leads in the setup and streamlining of payroll functions across the business.

Responsibilities

  • Manages and leads payroll team.
  • Maintains accurate and updated payroll work instructions and SOP’s.
  • Reviews and audits all employee changes maintenance and activity logs received from Human Resources per pay period.
  • Reviews and resolves all payroll-related inquiries and errors.
  • Performs weekly audits and reconciliation of payroll. Ensures payroll data, related filings and year-end documents are accurate and meet compliance requirements. Maintains appropriate supporting data as required and ensures timely processing occurs.
  • Reviews ledgers, accounts, and data to ensure cross-checks and balances are in place and systems are functioning as designed. Reconciles accounts to supporting systems and audits data for accuracy.
  • Lead 401K administration. Submission of timely 401K contributions per pay period, lead the annual 401K benefit audit and year-end 401K Non-Discrimination testing. Provide all requested documentation to the auditors in a timely and accurate manner. Provide 401K training opportunities to employees. Respond to all employee questions about 401K in a timely manner. Act as company liaison with the 401K vendor. Ensure plan documents and plan remain compliant with all applicable laws and regulations. Participate in the 401K committee.
  • Responsible for master file setups to include job, department, earnings, and deduction codes.
  • Responsible for specific journal entries at month end.
  • Responsible for processing monthly commission payments.
  • Responsible for annual worker’s compensation audit.
  • Prepare and provide required monthly reports to HR and Finance.
  • Administer, research to stay current on, remain compliant with, and communicate payroll related federal regulations/laws as well as local/state regulations/laws for all city and states we operate in. This includes payroll taxes, garnishments, child support, and all government related inquiries and requests.
  • Provides backup for payroll processing.
  • Ensures accurate and timely responses to all audit requests.
  • Perform other duties as assigned.

Qualifications

  • A Bachelor’s Degree in Business, Accounting, Human Resources or equivalent combination of education and experience required.
  • 5+ years of progressive leadership and “hands-on” experience in Payroll and/or General Accounting preferred. Paylocity experience is a plus.
  • 3+ years of processing payroll of 500+ employees, related taxes, garnishments, and child support withholding exposure.
  • Proficient to Advanced experience in Excel, Outlook and Word. VLookup and Pivot table experience in Excel is preferred.
  • Good verbal and written communication skills.
  • Excellent math skills with a high level of accuracy and attention to detail.
  • Leader who is collaborative, supportive, detailed-oriented, organized, team orientated, with the ability to coach and mentor team members in a professional and respectful manner. Continuous improvement mentality, able to prioritize and manage multiple tasks while meeting quality expectations and deadlines. Ability to research, lead, and mentor team members towards “best practice” effectiveness and efficiency. Compliance oriented, discrete with confidential information, and self-directed, diplomatic in approach.

  • Self-starter with ability to work independently and/or within a team in order to meet deadline requirements.
  • Requires long periods of sedentary work. OT will be required
  • Requires repetitive upper body movement – keyboarding and monitor use
