We’re looking for a detail-oriented, bilingual Payroll Specialist to join our Human Resources team. This role is responsible for ensuring timely, accurate, and compliant payroll processing for over 600 employees across multiple states, while managing day-to-day time and attendance operations. We’re looking for a detail-oriented, bilingual Payroll Specialist to join our Human Resources team. This role is responsible for ensuring timely, accurate, and compliant payroll processing for over 600 employees across multiple states, while managing day-to-day time and attendance operations. This is an ideal position for a candidate with strong ADP experience, exceptional organizational skills, and a commitment to delivering outstanding service to our workforce.
Key Responsibilities
Payroll Processing
- Process high-volume weekly and biweekly payroll (600+ employees) including multi-state payroll, ensuring compliance with federal, state, and local wage and hour laws
- Enter, update, and maintain data in ADP Workforce Now, including new hires, terminations, garnishments, and compensation changes (bonuses, salary adjustments, hourly rate changes)
- Understand and apply DOL and FLSA regulations, including specific state laws such as those in California
- Process voids, manual checks, and payroll corrections as needed
- Generate and review payroll reports to ensure accuracy prior to final submission
- Complete employment verifications, VOEs, and termination-related notices
- Support year-end payroll processes, including W-2s and ACA reporting
- Maintain Time & Attendance (T&A) and ADP Workforce Now databases simultaneously
- Collect and enter missing punches, review and process time off requests, and ensure timely approvals
- Generate and reconcile T&A reports to ensure accurate payroll input
- Update employee profiles and schedules in timekeeping systems
- Bilingual in English and Spanish is required (spoken and written)
- Strong working knowledge of ADP Workforce Now; experience with Ceridian is a plus
- Familiarity with payroll and HR regulations, processes, and documentation
- Strong attention to detail, organizational skills, and ability to manage competing priorities in a dynamic environment
- Proficiency with Microsoft Office Suite (Excel, Outlook, Word)
- Ability to handle confidential information with the highest level of integrity
- 3+ years of Payroll and Time & Attendance Administration experience
- Strong written and verbal communication skills
- PC literacy and ability to quickly learn internal systems and software
- Willingness to assist with administrative duties such as filing, scanning, assembling new hire paperwork, and supporting departmental projects as needed
