Who You Are
We are seeking a detail-oriented, organized, and proactive Office Administrator & Accounts Payable/Receivable Coordinator to support the smooth operation of our office and manage key financial processes. This hybrid role combines administrative responsibilities with financial coordination, ensuring efficient day-to-day operations and accurate handling of invoices, payments, and receivables.
What You Will Do
Office Administration
- Manage daily office operations, including supplies, mail, scheduling, and facility upkeep.
- Serve as the first point of contact for office visitors, calls, and emails.
- Coordinate meetings, travel arrangements, and company events.
- Maintain office filing systems, databases, and documentation.
- Support other departments with general administrative tasks.
- Process vendor invoices and ensure timely and accurate payments.
- Match purchase orders, receipts, and invoices to ensure proper approvals.
- Maintain vendor records and respond to inquiries.
- Prepare and process check runs, ACH payments, and wire transfers.
- Reconcile AP accounts and resolve discrepancies.
- Generate and distribute customer invoices and statements.
- Track incoming payments and apply them to the appropriate accounts.
- Follow up on overdue accounts and manage collections process.
- Prepare AR reports and support month-end closing activities.
- Maintain accurate customer records and credit terms.
What You Need:
- High school diploma or equivalent; associate or bachelor's degree in accounting, business, or related field preferred.
- 2+ years of experience in office administration and AP/AR functions.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and accounting software (e.g., QuickBooks, Xero, or similar).
- Strong organizational and multitasking skills.
- Excellent attention to detail and accuracy.
- Good communication and interpersonal skills.
- Experience with ERP systems.
- Basic knowledge of bookkeeping principles.
- Familiarity with expense reporting and budgeting tools.
