We are currently looking for a Rehab Department Customer Service Representative to join us at our Oceanside location. We are seeking an individual who is looking for a career opportunity working with like-minded, passionate, caring, friendly, and fun people.

Our rehab department consists of physical therapy, occupational therapy, and acupuncture. We have 3 rehabilitation clinics in San Diego. This position will be based in our Oceanside clinic and will manage the scheduling, insurance correspondence, and phone calls for our 3 San Diego area clinics.

Essential Duties And Responsibilities

  • Conducts business in a service-oriented manner that is attentive, cooperative, sensitive, respectful and kind with dealing with patients, visitors, the public and all colleagues
  • Schedules patient appointments for PT, OT, acupuncture, and PR4 measurements
  • Communicates with insurance companies, third party payors, and adjusters about patient authorizations and appointments (including authorization effective and expiration dates, number of authorized visits, dates patients have attended, and authorization status, along with sending over therapists’ notes when appropriate)
  • Managing emails and communication between departments, providers, insurances, employers, and adjusters regarding patient’s therapy.
  • Distributes patient satisfaction surveys (WellIQ)
  • Protects patients' rights by maintaining confidentiality of personal, medical, and financial information- HIPPA
  • Maintains safe, secure, and healthy work environment
  • Assists in maintaining a neat, clean and orderly appearance
  • Translate between English and Spanish
  • Communicating with billing regarding patient authorizations
  • Back-up assistance on rehab floor, for translation needs

Requirements

  • REQUIRED: Minimum one-year Customer Service experience
  • REQUIRED: Bilingual English/Spanish
  • PREFERRED: Associate degree or Higher
  • Dedication to providing customer service levels that exceed industry standards
  • Excellent verbal and written communication skills
  • Ability to perform individually but also as part of a team
  • Knowledge in a variety of computer software programs, including Microsoft Word, Excel, PowerPoint, and experience working with EMR systems
  • Understanding of HIPAA and patient privacy standards
  • Ability to learn new technology quickly
  • Working knowledge of general office duties specific to a clinic environment (communication with teammates, organization of files, schedules, and patient information)
  • Attention to detail and accuracy
  • Show initiative to help patients and co-workers
  • Consistent, punctual attendance and productive with time
