Full Job Description

We are seeking an extremely detail-oriented HR Services Coordinator with strong expertise in ADP to join our team. This role will help facilitate and support payroll, benefits, HR, and recruiting processes, ensuring compliance, accuracy, and efficiency. Key emphasis on 'support,' as this role will not actually be administering payroll or benefits - a team of ADP specialists handles that. But this role will serve as the primary point of contact for these processes and serve as the liaison between stakeholders, including company leaders, ADP specialists, consultants, benefits brokers, employees, and prospective employees.

The ideal candidate will have expertise working with ADP Workforce Now (HR, payroll, compliance, and other modules) and a general understanding of HR, payroll, benefits, and recruiting processes.

The company currently operates across the greater Seattle metropolitan area and Oregon.

Key Responsibilities

  • Payroll Support:
    • Monitor our company payroll email address, respond to employees, and ensure all payroll items are addressed timely.
    • Support and respond to employee payroll matters and coordinate with ADP specialists, consultants, and leadership for guidance as needed.
    • Compile payroll items, adjustments, and special pay items and provide them to our ADP payroll specialist to process.
    • Maintain and update employee payroll records, including special pay items, commissions, and deductions.
    • Reconcile payroll biweekly and review it for completeness and accuracy, ensuring compliance with federal, state, and local regulations.
    • Assist in payroll audits and reconciliations.
    • Address payroll discrepancies and resolve employee inquiries regarding compensation.
    • Verify wage garnishments are handled appropriately by ADP.
    • Provide payroll-related reports and analytics as needed.
  • Benefits Support:
    • Liaison with benefit providers, brokers, and ADP specialists regarding employee benefits programs, including health, dental, vision, 401(k), and other offerings.
    • Reconcile benefit records to payroll deductions and financial records to ensure completeness and accuracy.
    • Ensure completeness and accuracy of the benefits system of record (Employee Navigator).
    • Ensure the benefits system reconciles to payroll records.
  • HR Support:
    • Monitor our company HR email address, respond to employees, and ensure all HR-related matters are addressed timely.
    • Maintain HR and employee records and ensure compliance with company policies and employment laws, leveraging the guidance of our ADP specialists and other consultants.
    • Process new hire onboarding, including paperwork completion and HR system setup.
    • Organize and lead new employee orientations at our headquarters in Kent, Washington.
    • Process employee terminations.
    • Facilitate annual review cycles and other performance reviews on behalf of the company.
    • Liaison with ADP specialists to ensure leaves of absences, FMLA, and workers' compensation cases are tracked and resolved by ADP.
    • Provide HR-related reports and analytics as needed.
  • Recruiting:
    • Light recruiting support.
    • Engage with our external recruiters to ensure roles are being posted and filled timely, as needed.
    • Support hiring managers, as needed.
    • Potential to expand internal recruiting using ADP's recruiting module.
  • Other:
    • Other executive assistance support, as needed.
Qualifications

  • 2-4+ years of experience in payroll, benefits, HR administration, or similar field (including accounting or other data and numbers-heavy roles).
  • Expert working with ADP payroll/HR systems (Workforce Now and other ADP modules).
  • Extremely high attention to detail and accuracy. Our company and employees rely on complete and accurate payroll records and data.
  • Strong analytical skills; ability to investigate and resolve discrepancies.
  • Numbers-oriented.
  • Prompt, clear, and concise communication.
  • Personable and aligned with company culture.
  • Knowledge and general understanding of U.S. federal and state labor laws, payroll tax regulations, and benefits compliance.
  • Proficiency in Microsoft Excel.
  • Ability to maintain confidentiality and handle sensitive employee information.
  • ADP Workforce Now expertise is required.

Preferred Qualifications

  • ADP certification or advanced training.
  • HR or payroll-related certification (e.g., PHR, SHRM-CP, CPP).

[Note: designated in-office days are required and this is not a position for an out-of-state applicant to consider.   • Type: Full-time.
