We are currently seeking a dynamic and highly-organized Permanent Project Administrator to join our team. The ideal candidate is a detail-oriented individual with a strong background in project administration in the Commercial Construction industry.

Responsibilities

As a Project Administrator, you will

  • Assist in the planning, execution, and closing of various projects.
  • Prepare, organize, and maintain project documentation to ensure all necessary materials are current, properly filed, and stored.
  • Develop and manage detailed project budgets, tracking all project costs and ensuring projects stay within the agreed budget.
  • Facilitate project meetings, including scheduling, preparing agendas, distributing minutes, and tracking action items.
  • Coordinate with project stakeholders to ensure timely and accurate communication.
  • Monitor project progress, identifying any issues that may arise, and working to find solutions.
  • Provide administrative support to the project team as needed, including data entry, file management, and report preparation.
  • Ensure compliance with company policies, as well as financial and legal regulations.

Qualifications

To be successful in this role, you will need

  • A minimum of 2 years of experience in project administration
  • Proficiency in project budgeting and financial tracking.
  • Strong organizational skills with the ability to manage multiple projects and meet deadlines.
  • Excellent verbal and written communication skills, with the ability to effectively communicate project status and issues to team members and stakeholders.
  • Proven experience in meeting management, including scheduling, agenda preparation, and minute taking.
  • High attention to detail, particularly in relation to project documentation and record keeping.
  • Strong problem-solving skills, with the ability to identify issues and develop effective solutions.
  • Proficiency in Microsoft Office Suite, particularly Excel and Project, and other project management software.
