This role is ideal for someone with administrative experience in the construction industry, preferably with a fire protection or fire sprinkler systems background.

Wiginton Fire Systems is currently seeking a highly organized and motivated Administrative Assistant to support our Pensacola Branch.
This role is ideal for someone with administrative experience in the construction industry, preferably with a fire protection or fire sprinkler systems background.

Key Responsibilities
- Manage and coordinate the Pensacola Branch calendar, including scheduling and rescheduling inspections and appointments.
- Serve as the primary point of contact for customers, inspectors, and service technicians, ensuring top-tier customer service.
- Create and maintain service records in both digital databases and physical files at the Pensacola Branch.
- Coordinate with technicians and internal teams to ensure efficient execution of all service orders.
- Follow up on inspection reports by generating timely repair quotations.
- Assist with branch financial tasks and provide regular invoicing reports to the Area Manager.
- Provide administrative support to sister branches (Gainesville and Jacksonville) as needed.
- Perform other administrative duties as assigned to support the daily operations of the Pensacola Branch.
- High school diploma or equivalent (required)
- Previous administrative experience in fire protection, the fire sprinkler trade, or construction (strongly preferred)
- Familiarity with NFPA standards is a plus
- Excellent communication, organization, and time management skills
- Proficiency in Microsoft Office Suite
- Experience using ERP software (Microsoft Dynamics GP preferred)
- Strong work ethic with the ability to focus and thrive during mentally demanding tasks
- Must pass a background check, have a clean MVR, and pass a drug screening
