- Supervise and evaluate the work of project staff; participate in all aspects of hiring, training, and measuring of performance within the Supplemental Rate Payment Unit.
- Coordinate the unit’s workload priorities to ensure agency processing deadlines and goals are met; identify and manage available resources to maximize efficiency; collaborate with other departments when additional resources are needed.
- In the absence of the Senior Program Supervisor, take charge of the entire unit and assume associated responsibilities.
- Allocate caseloads to employees, ensuring equal distribution of workload, and reassign as needed due to any absences.
- Monitor and review daily contact logs for completion and accuracy.
- Arrange and conduct quality reviews, including TIN Checks, to ensure accuracy and compliance with state regulations and CDA policies and procedures; provide timely feedback and guidance to staff regarding the appropriate application of regulatory requirements; develop corrective action plans and training, as needed.
- Assist with developing and updating the Supplemental Rate Payment Unit’s policies and procedures to establish alignment with legal requirements and the company’s standards and objectives; ensure policies and procedures are followed by all staff.
- Proactively troubleshoot and resolve issues brought up by staff; develop preventative measures to minimize recurring problems and enhance team communication; role model, coach, and mentor employees to ensure CDA vision and values are promoted on an ongoing basis.
- Enforce proper procedures for systematic retention, protection, retrieval, transfer, and deletion of records; reinforce policies and procedures to maintain confidentiality regarding all personal information about children, families, and staff.
- Assist in resolving internal and external customer service concerns and address issues timely; implement effective solutions, build positive relationships, and mutual trust.
- Conduct regular staff and individual check-in meetings; organize reviews and Q&A for staff work and performances; encourage regular communication and inform staff of relevant issues affecting the office.
- Serve as a Subject Matter Expert (SME) for agency software; participate in testing of new versions and help troubleshoot and resolve reported issues.
- Participate in agency program audits as well as annual state fiscal audits.
- Collaborate with other staff members to develop policy and procedure; assist with the creation, development, and presentation of trainings.
- Represent the Agency and ensure professional and accurate representation at community collaboratives, meetings, programs, and events.
- Engage in on-site and off-site learning opportunities such as workshops, conferences, staff meetings, and trainings; coordinate and arrange for special meetings, when required.
- Associate’s degree in human services, business, management, or related field.
- Three to five years of supervisory experience.
- Bilingual/Spanish is preferred.
- Education, training and/or experience that demonstrate possession of the knowledge, skills and abilities listed above.
- Skilled in the use of office equipment such as calculators, scanners, copy machines, and phone systems.
- Proficient in Microsoft Office and Adobe applications, with intermediate/advanced skills in Excel.
- Valid auto registration and insurance. Position may require occasional driving to and from locations to attend off-site meetings, training, and travel between CDA offices.
