JOB DESCRIPTION:
Promote positive public relations between the school district and community.
Prepare and provide information to the public about the activities, goals, and policies
of the school district. Distribute pertinent information about the district and its
activities to all stakeholders. Establish and maintain internal and external
communication programs which promote an understanding and appreciation of the
district’s efforts to provide students positive learning outcomes.
PERFORMANCE RESPONSIBILITIES:
The Marketing & Communications Specialist will be responsible for the following:
Professional Conduct:
Maintains a high level of ethical behavior, including confidentiality with sensitive
information and data.
Stays informed on all policies, regulations, laws relative to the District.
Performs other tasks and responsibilities as assigned by the Superintendent.
Serves as Strategic Partner for the Superintendent and the Board of Education:
Serves as adviser of communication strategies and best practices to the Superintendent.
Serves upon request as a speechwriter for the Superintendent.
Serves as adviser to the Board of Education on matters of Communication and Community Relations at the direction of the Superintendent.
Identifies, in consultation with the Superintendent, projects requiring ongoing oversight, providing ongoing updates.
Plans and creates written drafts of phases of project development, and presents these to the Superintendent for review.
Manages multiple projects with firm deadlines simultaneously.
Ensures timeliness in the completion of assignment projects.
Attends all Board of Education meetings and workshops; assists in live streaming Board meetings, serves as liaison to news media.
Supports the Superintendent, safety team and schools with crisis communications.
Attends and participates in the Superintendent’s Cabinet meetings.
Serves as the brand ambassador and partners in the recruitment, retention, and selection of staff.
Leads committees and task forces as assigned by the Superintendent.
Coordinates informational campaigns for District needs.
Work with the Assistant to the Superintendent to ensure responsive communication for any contacts to the Superintendent’s office.
Connects with the Community:
In Coordination with the School Linked Services Supervisor of Parent and Community Engagement, oversees the District’s overall community relations communication.
Communicates District programs, instructional goals and objectives to the greater community within the context of the District’s mission and strategic planning.
Responds to requests for information about the district and/or schools within the district.
Actively seeks input about the District and schools from the community through surveys, focus groups, community forums, and other methods.
Serves as liaison between the District and parent/community groups that support the schools.
Coordinates District Publications:
Guides school publications electronic and/or paper formats (as needed).
In coordination with the District Web Developer, provides layouts for school system publications, forms and other printed and electronic materials.
Guides administration and staff members in the preparation of publications and printed material.
Provides training in best practices and effective use of communication tools.
Coordinates and ensures compliance for all legally required notifications on websites, handbooks and general information.
Supports Staff Communication:
Maintains internal communications to help employees stay informed and engaged in District issues and news.
Provides leadership on internal communications, external communications, two-way
community engagement, crisis communications, and public speaking.
Provides resources, support and training to help staff in their communication with parents and the community.
Establishes methods to ensure staff has information about the District (e.g.,website information, staff newsletter).
Establishes partnerships with the other public entities that serve the District’s communities (cities, park district, libraries, high school, chambers of commerce etc.), and coordinates communication efforts with those community partners.
Oversees Website/Social Media:
Coordinates writing, editing and design layouts of website and other electronic school system publications.
Manages the District’s overall social media presence.
Supports individual schools in developing and enhancing their social media presence.
Stays current with Social Media tools utilized by our caregivers and broadercommunity.
Serves as Information Liaison to the News Media:
Coordinates the production and distribution of all news releases.
Continued Professional Development:
Is active in professional organizations that support the practice of school public
relations and communications.
Serves as information liaison between the District and the community, including media and other public agencies.
Prepares and disseminates announcements, general notices and personal correspondence.
Prepares press materials as needed for distribution to reporters covering Board meetings, public hearings, and district affairs.
Creates audiovisual materials for community information purposes.
Takes photographs and video for District use.
QUALIFICATIONS:
Credential and/or License:
Possession of a valid California driver's license
Education:
A Bachelor’s degree is required, Master’s Degree is preferred.
Field of Study in English, Journalism, Communications, Public Relations and/or Marketing or other Education Related areas is preferred.
Experience:
Five or more years experience in communications or marketing.
Two or more years of website/social media management experience.
Knowledge and Abilities:
Ability to communicate articulately, both orally and in writing
Apply communication skills in formal and informal settings
Manage comprehensive external and internal communications programs; establish and maintain cooperative working relationships
Apply creativity and originality; maintain confidentiality
Knowledge of principles and techniques of consumer and market research; graphic design techniques
Computer software applications applicable to job functions; method of news
dissemination
Familiarity and understanding of the organization, operations and communication
challenges found in a public school district
REPORTS TO:
Superintendent
TERMS OF EMPLOYMENT:
Salary and work year in accordance with the current schedule
EVALUATION:
Performance of this job will be evaluated in accordance with the District's policies and
procedures.
PHYSICAL DEMANDS:
While performing the duties of this job, the employee is regularly required to stand, walk, talk or hear, and taste or smell. The employee frequently is required to use hands to handle or feel instructional and technological resources. The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision peripheral vision, depth perception, and the ability to adjust focus.
WORK ENVIRONMENT:
The employee shall possess exemplary oral and written communication skills. The
employee shall be proficient with technological aspects of the position, including
computing software and hardware, as well as video and camera equipment and software.
The employee shall use board approved resources and technology. While performing the
duties of this job, the employee occasionally works in a building setting with children,
works in outdoor weather conditions, and is subject to noises associated with both an
educational environment and other setting such as the gymnasium, lunchroom, library,
busses, traffic, construction sites, server rooms, and boiler rooms. In addition, the
employee will frequently need to drive to meetings at various locations, school buildings,
and community events. The mental demands, physical demands, and work environment
characteristics are representative of those an employee encounters while performing the
