As the executive administrative coordinator, you will provide executive level administrative support to the ISU Foundation President & CEO, Chief Financial Officer, and Chief Human Resources Officer. This position must demonstrate a high level of professionalism and represent the ISU Foundation with the highest levels of tact and diplomacy.


Core Responsibilities include but are not limited to:

  • Complete a broad variety of administrative tasks including managing calendars; composing and preparing confidential correspondence; arranging complex and detailed travel plans, itineraries, and agendas; and compiling profiles, call objectives, and gifting documents for fundraising calls and meetings.
  • Serve as key liaison between the President & CEO, CFO, and CHRO and internal and external stakeholders including ISU Foundation staff, university administrators, collegiate constituents, donors, prospective donors, and other external partners.
  • Resolve internal and external customer service issues using diplomacy and established guidelines.
  • Create, prepare, and edit correspondence and communications, reports, presentations, and other documents with clearly organized thoughts.
  • Strategically manage calendars and meetings to optimize time of President & CEO, CFO, and CHRO while coordinating multiple schedules.
  • Research, develop, compile, and compose content considering areas of greatest importance to the donor(s) and desired focus of the communication.
  • Develop annual budget for president’s office, review expenditures, and resolve discrepancies in monthly accounting reporting. Process expense reports for President & CEO, CFO, and CHRO.

 

Qualifications

Minimum Experience

  • 8+ years of administrative support experience or combination of relevant education and/or demonstrated work experience totaling 8 years supporting C-level executives.


Desired Skills & Experience

  • Strong communication skills (both written and verbal), professional judgment, organization planning, diplomacy, and professionalism.
  • Must be able to handle a number of activities simultaneously with attention to detail and adherence to deadlines and accuracy.
  • Ability to work independently and as part of a team. Must be adaptable, flexible, and self-directed.
  • Must be proficient in Microsoft Office suite of applications, especially PowerPoint, and possess the ability to learn in-house computer systems. Experience with Salesforce or other CRM is preferred.
  • Must adhere to strict confidentiality standards.
