Job Title: Pediatric Medical Office Receptionist.

Job Summary

Answer inquiries and provide information to the general public, customers, visitors, and other interested parties regarding activities conducted at establishment and location of departments, offices, and employees within the organization.

Tasks

  • Answer all phone calls and/or return messages.
  • Follow up with Client Care Messages.
  • Follow opening and closing protocol.
  • Responsible for managing telephonic communications.
  • Administers and maintains all appointments using the approved software.
  • Responsible for making and maintaining accurate patient appointments.
  • Schedule appointments in accordance to the periodicity schedule provided by the insurance health plan.
  • Facilitates patient flow and ensures processes are smoothly operating.
  • Assists in prepping patient charts for daily visits and urgent/emergency appointments.
  • Collect co-pays, co-insurances, and outstanding balances, and record in the EMR system.
  • Greet and electronically check in each patient, verify patient information.
  • Assists patients with registration and patient forms.
  • Verifies insurances, confirms eligibility, and attaches appropriate flags.
  • Schedule physicals and/or follow ups for higher care patients (asthma, diabetes, ADD).
  • Assists patients with interpreter and transportation needs.
  • Process documents, Insurance card, Parent’s identification, placement forms, immunization records, insurance verifications, health insurance forms, and any other forms brought by the parents.
  • Follows policies and procedures, including emergency procedures 100% of the time and reports needed changes.
  • Maintains patient accounts and keeping update/accurate records in the approved EMR.
  • Maintaining compliance with all applicable governmental regulations and/or company policies.
  • Assists with maintaining inventory of office supplies.
  • Maintains waiting room, restrooms and front office area and practicing safe sanitization.
  • Regularly multitask and complete various projects simultaneously.
  • Other duties as assigned.

  • Education: High School Diploma or equivalent (Post High School Certificate preferred).
  • Experience: 2-3 years in a similar role (5+ years preferred), ideally in a healthcare setting.
  • Skills: Excellent communication, multitasking, and organizational skills. You should be proficient in using scheduling software, handling patient records, and working in a fast-paced environment.
  • Personality: Friendly, proactive, and eager to make a difference in the lives of our patients. You must be comfortable interacting with a wide range of people, including patients, healthcare providers, and administrative staff.
