The ideal candidate will reconcile accounts, assist with payment processing and invoicing, handle customer service interactions, coordinate with insurance companies, and ensure accurate and timely record-keeping.

The ideal candidate will reconcile accounts, assist with payment processing and invoicing, handle customer service interactions, coordinate with insurance companies, and ensure accurate and timely record-keeping.
Requirements
Key Responsibilities:
- Oversee front office operations, including scheduling, billing, customer service, and insurance coordination.
- Serve as the primary point of contact for customers, providing updates and managing expectations.
- Maintain accurate records for repairs, parts, labor, and customer communications.
- Process repair orders, estimates, and invoices using body shop management software.
- Coordinate with insurance companies for claims processing and approvals.
- Reconcile accounts and assist with payment processing and collections.
- Manage office staff, including receptionists and administrative assistants.
- Ensure compliance with company policies, OSHA standards, and local regulations.
- Order office supplies and maintain inventory control.
- Support overall shop efficiency by facilitating clear communication between technicians and the front office.
- High school diploma or equivalent; Associate’s or Bachelor’s degree in Business Administration or a related field preferred.
- Minimum of 3 years’ experience in office management or customer service, preferably in an automotive or body shop setting.
- Working knowledge of collision repair processes and insurance procedures.
- Proficiency in Microsoft Office and body shop management software (e.g., CCC One, Mitchell, Audatex).
- Excellent organizational, communication, and problem-solving skills.
- Ability to multitask and thrive in a fast-paced environment.
- Professional demeanor and a strong customer-service orientation.
