SUMMARY: The Executive Assistant to the Sales & Commercial Operations Function will provide high-level administrative support to the SVP, Sales & Commercial Operations. This role requires a proactive individual with excellent organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. The Executive Assistant will be responsible for managing the SVP's schedule, coordinating meetings, preparing reports, and handling confidential information. This role may also require up to 10% travel.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Compensation is based on a number of factors including market location and may vary depending on job-related knowledge, skills and experience. Short-Term Incentive and other forms of compensation may also be provided as part of a total compensation package.

The Executive Assistant will be responsible for managing the SVP's schedule, coordinating meetings, preparing reports, and handling confidential information. ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Manage and maintain the SVP's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel, including booking and adjusting travel arrangements.
- Prepare correspondence, reports, documents, presentations, and memos working from notes and direction.
- Plan, organize, maintain, and update a variety of files, records, and databases.
- Coordinate preparation of records such as agenda, notices, minutes, and resolutions for corporate meetings.
- Collect and compile various reports from corporate departments and distribute them to the executive group.
- Handle confidential information with discretion and professionalism.
- Assist in the preparation of executive summaries and presentations for meetings.
- Maintain calendars for designated management personnel.
- Provide administrative support for special projects as needed.
- Coordinate off-site sales and commercial meetings.
- Coordinate with caterers and events.
- Create on-boarding schedules, Mizkan welcome kits, and ensure all IT needs are covered.
- Travel up to 10% as required.
- Proven experience as an executive assistant or in a similar administrative role.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle confidential information with discretion.
- Strong attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Bachelor's degree in business administration or related field preferred.
