The Early Career Programs department currently comprises two flagship programs that are a part of inTulsa Initiative: Campus Tulsa and Tulsa Service Year. These programs fuel and invest in unique pathways to economic growth and workforce development by empowering diverse college students to explore, live, and work in Tulsa.

We focus on supporting Tulsa's diverse early career opportunities, and booming economic landscape, by forging strategic connections for talented people and innovative companies.

In these Early Career Talent Programs, students learn that the right opportunity can be the critical difference between a fulfilling career and another job opportunity. Campus Tulsa connects students with Tulsa's top companies as interns, providing pathways to full-time employment after graduation. Tulsa Service Year is an opportunity for recent college graduates to serve for a year of high-impact work in a city driven by innovation from a community of learners. Both programs source Tulsa's corporate and nonprofit sectors with a diverse talent pool to encourage inclusive working environments. Position Summary

Early Career Programs is looking for a detail-oriented, passionate, taskmaster that wants to support our team operations. This position requires someone who can juggle multiple tasks, is adept at spreadsheets, CRMs, has relationship building skills, and data management. This person will assist the Operations Manager with making sure that billing is completed, build future budgets, create data reports, and assist in project management of the Corporate Sponsorship and Housing programs. We’re committed to the empowerment of students through internships and we want to make a better Tulsa.

This position is a part-time, nonexempt role that reports to the Early Career Programs Operations Manager.

Requirements

Duties and Responsibilities:

  • Help track Early Career Program’s operational expenses, including working with team members to manage program and event budgets
  • Verifies that the team is tracking receipts and maintaining electronic and print files of receipts
  • Be familiar with protocols for Early Career reimbursement, expense tracking, etc.
  • File payment requests for Early Career expenses and keep track of their execution
  • Assist with annual program and budget review building process
  • Assist with Early Career databases, tracking vendors, partners, entrepreneurs, investors and donors
  • Manage contracts with housing vendors and housing residents
  • Assist with the housing application and onboarding process
  • Assist with project management of the corporate sponsorship plan at Campus Tulsa to ensure all corporate sponsors are being fully serviced
  • Assist with onboarding of both Tulsa Service Year fellows and Campus Tulsa interns
  • Assist with inventory as needed
  • Other duties as assigned

Qualifications

Education & Experience:

  • Associate’s degree required; bachelor’s degree preferred
  • 2-3 years of administrative or operations experience
  • Experience managing databases preferred
  • Excellent written and verbal communication skills
  • Highly adept at personal and professional relationship management and can handle a crisis with a smile
  • Must be able to work some evenings and weekends
  • Adept at spreadsheets and tracking expenses
  • Experience with Microsoft, Google Docs, Asana, Airtable, Slack, Eventbrite

Physical Requirements

  • Must be able to lift and carry up to 25lbs., for lifting supplies and materials, as needed
  • Position continually requires the ability to talk and hear both in person and over the phone, visual acuity; ability to operate equipment, read, and use a keyboard
  • Position frequently requires the ability to sit, walk, and stand for extended periods of time
  • Position requires the ability to travel occasionally but not regularly

Hours & Location:

  • This is a part-time position with an expectation of working up to 20 hours per week
  • The role follows a hybrid work model, with a schedule set by the supervisor
  • Employees working remotely must maintain camera readiness for all scheduled meetings and unexpected calls; strong time-management, organizational skills, and self-discipline are essential, as the role requires self-motivation and the ability to work independently
  • Occasional work outside standard hours of 8:00 A.M. to 5:00 P.M. may be required for events
  • Position requires the ability to travel occasionally but not regularly
  • Must reside in or be willing to relocate to Tulsa, OK, or surrounding area
