Under the direction of the HR Director and Lead HR Generalist the following established procedures, the Community Support Specialist will have a vital role in representing the agency in a positive light to the community by providing excellent customer service. Performance of the typical responsibilities and duties requires the ability to perform the job duties and explain to others, involving job-related matters generally of limited complexity.
TYPICAL RESPONSIBILITIES AND DUTIES (* indicates non-essential duties)
- Will be the face of RCS to the public and internal staff.
- Answer incoming phone calls in a professional manner and transfer as needed.
- Greet all visitors and clients in a professional manner and inform staff of their appointments.
- Be prepared in advance for client arrival and request information necessary to assure everything is in order prior to services being rendered.
- Collect donations for scheduled services and provide receipt.
- Schedule meetings in Treatment and Conference rooms.
- Schedule agency floater vehicles and monitor compliance.
- Monitor and maintain waiting area for cleanliness and necessary current signage and brochures.
- Distribute incoming mail into designated areas and notify staff when larger packages arrive.
- Will need to know all programs RCS offers and contacts for each program.
- Will need to know the intake process for each program.
- Assure that all necessary documents/forms for department are in supply
- Assist HR team with basic administrative duties as assigned and additional duties as needed.
Education, Training, and Experience
- High School Diploma or equivalent.
- Must be bilingual English/Spanish in order to meet current client needs.
- Demonstrated knowledge and use of MS Windows/Word/Excel.
- Excellent telephone etiquette and speaking voice.
- Excellent Customer Service skills required.
- Excellent language skills, Bilingual in English and Spanish.
- Experience in medical or dental clinic front office a plus.
- Must have a valid driver’s license
- Must enjoy working in a busy office.
- Must be responsible, professional and a team player
- Must be able to work in an environment that provides treatment for abused children with severe emotional and behavior problems and their families
- Must be able to handle situations in a calm, professional manner
- Must have the ability to prioritize assignments and multi-task
- Must be able to communicate clearly both orally and in writing
- Excellent clerical skills
- Must be able to meet and receive a criminal records clearance as required by Title XXII licensing regulations
The following are required in day-to-day performance of the duties of this position:
- Sitting, walking, standing, grasping (simple), and visual/auditory acuity are constantly required (over 2/3 of the workday).
- Bending, squatting, kneeling, twisting, lifting, reaching and pushing/pulling are required occasionally (under 1/3 of the workday).
- Climbing and crawling are generally not required.
