Our Graphics plant in Baton Rouge, Louisiana, is now hiring an Administrative Specialist position to provide clerical/administrative support to office staff and management. This position will handle routine office duties and work closely with the Graphics General Manager to ensure that the office functions efficiently and effectively. This position serves visitors by greeting, welcoming, and directing appropriately; notifies company personnel of visitor arrival; and maintains security and telecommunications system.

- Experience with fax machines, copiers, and scanners

- Continual attention to detail in composing, typing and proofing materials, establishing priorities, and meeting deadlines
- High School Diploma or equivalent
- 2 years of computer software use in an office setting
- 1-3 years of past work experience.
- Answer phone calls and transfer calls to voicemail. Routing the client to the appropriate person that can help them quickly and efficiently
- Greet; log in and out all facility visitors
- Provide administrative support to all departments
- Organize and prioritize large volumes of information
- Sort and distribute all incoming mail. Respond to regularly occurring requests for information
- Expedite incoming packages (UPS, FedEX) and incoming freight truck shipments
- Confirm and track all outsourced jobs in LOIS and TOM, as well as maintain miss-ship report
- Perform photocopying and filing duties
- Order all supplies (including postage machine) and Federal Express packages
- Maintain Billing Report – Daily Rejected for Billing
- Maintain Employee Home/Cell phone list as well as Inter-office extension updates and Birthday list
- Code A/R checks accurately for sending to Corporate
- Any and all other duties asked of the position
- Serve as backup to the Billing Coordinator as needed, including but not limited to CAP, Transit, Outdoor and Lamar Graphics 3D billing.
- Enter Transit Invoices for Billing
- Enter tracking numbers daily into TOM
- Stamp all incoming AP and Vendor Invoices for payment, match with packing slips or bills of lading, forward as necessary to the Office Manager
- Code A/R checks accurately for sending to Corporate
- Working in an office environment, heavy telephone use, sitting, standing, walking, bending, kneeling, stooping, light to moderate typing, filing, occasional moderate lifting and carrying.
- The majority of the workday is spent on the phone while working at a computer station.
- First impression to customers and staff.
- Must be flexible with other support staff.
- The position reports to the General Manager of Lamar Graphics.
- Occasional overtime is required.
- Must report to work as scheduled and on time.
