Our SelectLeaders client is seeking a motivated Assistant Property Manager to join an onsite management team based in the Chicago Loop. This is an office based position in one of Chicago's most iconic properties. This role will interact with ownership of the building, tenants in the building, and vendors. The APM role requires strong budgeting and financial skills as well as the demonstrated desire to manage institutional level commercial office assets.

Responsibilities include:

  • FINANCIAL PERFORMANCE:
  • Coordinate all aspects of financial, including estimates, reconciliations, monthly reporting and budgeting
  • Manage the overall budget process with the Property Manager and ownership
  • Respond to ownership request for reports and information, assist in tours for owners, auditors, inspectors, etc. as needed
  • Process all draws, track capital spend, submit payment requests
  • Process and/or oversee the process for coding/entering invoices; assure proper approvals are obtained and look for expense discrepancies.
  • TENANT RELATIONS:
  • Respond to tenant requests, either online or in person
  • Work closely with the front office team for the highest level of tenant satisfaction
  • Reach out to new tenants, coordinate intros to the management team
  • Coordinate the building inspection program as directed by the Property Manager.
  • VENDOR MANAGEMENT:
  • Bid service contracts as directed by Property Manager; perform bid comps and make recommendations
  • Act as management office liaison for daily operational communications and issues, namely cleaning, window washing, pest control and trash removal
  • Attend meetings with Property Manager to discuss vendor’s performance or issues. Oversee invoicing paperwork for the various vendors, making recommendations for change as needed
  • OPERATIONS:
  • Read and understand labor agreements for cleaning, security and engineering. Interact with the service team, following up, providing deadlines, communicating with the Property Manager as needed for direction or support
  • Learn aspects of the operation, including security hours and staffing, security systems in place, engineer duties and aspects of engineering, including water treatment, BAS operation and preventative maintenance
  • Attend meetings as directed by the Property Manager relating to energy conservation projects, retro-commissioning or other items underway for process or energy improvements


Qualifications:

  • Minimum three years of related business experience required
  • Proficiency with Microsoft and the ability to learn and utilize industry custom software programs
  • Effective written and verbal communication skills
  • College degree preferred or equivalent experience
  • Strong desire to succeed in an entrepreneurial environment
  • Must be able to handle multiple projects, changing priorities and balance workload
  • Exceptional oral and written communication skills
  • Strong customer service orientation
